Role Summary
We are seeking a detail-oriented, proactive Administrative Assistant to join our team. You will be the "nerve center" of our office, ensuring that our financial advisors are prepared, our records are audit-ready, and our clients receive a white-glove experience from the moment they walk in or call.
Key Responsibilities
- Client Relations: Serve as the first point of contact; greet clients, manage incoming calls, and schedule appointments with a high degree of professionalism.
- Document Management: Prepare and process financial documents, including new account applications, transfers, and compliance-related paperwork.
- Calendar & Meeting Prep: Coordinate advisor calendars and ensure all necessary client reports and presentation materials are ready prior to meetings.
- Database Maintenance: Maintain and update our CRM (Client Relationship Management) system with high accuracy to ensure data integrity.
- Compliance Support: Assist in maintaining organized digital and physical files in accordance with industry regulations (SEC/FINRA).
- Office Operations: Manage office supplies, coordinate mailings, and assist with special projects or client events as needed.
Qualifications & Skills
- Experience: 2+ years of administrative experience, preferably in financial services, banking, or legal environments.
- Tech Savvy: Proficiency in Microsoft Office 365 (Word, Excel, Outlook) and experience with CRM software (e.g., Redtail, Salesforce, or Wealthbox).
- Attention to Detail: Ability to spot a missing signature or a typo from a mile away; accuracy is non-negotiable in finance.
- Communication: Exceptional verbal and written communication skills with a focus on "client-first" service.
- Integrity: Absolute discretion when handling sensitive personal and financial information.
- Education: High School Diploma required; Associates or Bachelors degree preferred.
