We are looking for a dependable Administrative Assistant to support daily office operations for a retirement community in Goleta, California. This Long-term Contract position is well suited for someone who enjoys keeping administrative processes organized, assisting staff and visitors, and handling a variety of office tasks with care and professionalism. The ideal candidate is attentive, compassionate, and comfortable managing both routine assignments and time-sensitive requests in a busy office setting.
Responsibilities:• Manage day-to-day clerical work by organizing documents, reproducing materials, and handling outgoing and incoming faxes as needed.
• Keep the office environment running smoothly by monitoring facility-related needs and coordinating service or maintenance requests.
• Answer and direct incoming phone calls to the appropriate team members while maintaining a courteous and attentive tone.
• Enter, update, and verify information in office records and databases with a strong focus on accuracy.
• Support front office activities by receiving materials, distributing correspondence, and assisting with general reception-related tasks.
• Complete a wide range of administrative assignments independently while adapting to shifting priorities throughout the day.
• Strong attention to detail with the ability to stay organized while managing multiple responsibilities.
• Ability to work independently and follow through on tasks with minimal supervision.
• Detail-oriented and empathetic communication skills when interacting with residents, staff, and visitors.
• Comfortable using standard office equipment and performing general clerical duties efficiently.
• Familiarity with Microsoft Word and Microsoft Excel preferred.
• Experience with property management or office software such as AppFolio is a plus.
