Construction Admin

$25 - $30 per hour

P.J. Keating Company, a CRH company, is a leading manufacturer of aggregate and hot-mix asphalt products and paving & construction services in Massachusetts and Rhode Island. The company operates production facilities in Acushnet, Dracut, Lunenburg, and Cranston. Position Overview The Construction Administrator assists the Contracts Manager by overseeing and managing the entire process surrounding construction projects, including managing bids, drafting and administering contracts, maintaining construction project records, and handling financial accounting duties. This is a full‑time, in‑office position located at our Lunenburg, MA headquarters. Key Responsibilities (Essential Duties & Functions) Oversee the bidding process: research upcoming bids, pull plans and specifications, coordinate with estimators, review bids, manage bid delivery, and maintain up‑to‑date files. Draft and review contracts, including subcontracts, ensuring all terms and requirements are clearly defined. Maintain all documents and records related to the construction contract process in accordance with record‑keeping practices. Prepare construction contract documents such as contracts, purchase orders, and change orders. Review daily materials batch and job progress reports for accuracy. Process project invoicing, verify quantities and payments, review profit and loss statements, and generate accuracy reports. Maintain spreadsheets and logs tracking construction documents (e.g., crew tonnage, job details, insurance certificates, bonds). Export from B2W and import to ViewPoint to set up projects. Assist with weekly and monthly financial reporting. Ensure compliance with contractual terms and assist other project‑related document processing. Support Project Managers, Superintendents, Estimators, and state resident engineers. Perform additional duties assigned by the Contracts Manager. Skills & Specifications High attention to detail and ability to multitask. Basic accounting and financial knowledge. Professional and courteous attitude toward coworkers, supervisors, and the public. Strong interpersonal and written communication skills. Ability to interact with sub‑contractors, employees, state resident engineers, and managers. Proficient with Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). Experience with construction management software such as ViewPoint, EBO, OnBase, Proactis, B2W. Self‑motivation and ability to work with minimal supervision. Strong time‑management skills and ability to work in a fast‑paced, team‑oriented environment. Effective speaking skills to communicate with customers and employees. Education/Professional Experience Previous experience in construction, contracts, loan processing, or underwriting is preferred.
