We are currently looking for a Senior Accounts Payable Specialist to manage all outgoing payments, processing invoices, maintaining vendor relationships, and ensuring timely payments to vendors while maintaining positive vendor relationships.

This role requires full-time, onsite presence, Monday through Friday, at our Santa Ana, CA location.

Your essential duties include:

• Ensuring thorough review of invoices and payments for accuracy and completeness.
• Reviewing and updating processes for proper handling and coding of invoices to maintain general ledger expense account and inventory records.
• Reviewing and verifying Purchase Orders and supporting documentation to ensure accuracy in coding.
• Reconciling accounts payable aging report to general ledger balances.
• Ensuring purchase orders related to purchases made exclusively for customers are submitted to billing team in a timely manner.
• Assisting with preparing correct and timely budget reports and purchase journals.
• Participating in the recordkeeping of purchases for use in tax preparation and periodic audits.
• Ensuring W9s have been collected from all vendors prior to paying vendors and to ensure accurate and timely preparation of year-end 1099s.
• Assisting Staff Accountant team with accounting reconciliations as needed.
• Preparing daily, weekly, and monthly reports and assisting with month-end closing tasks.
• Ensuring proper maintenance, filing, and storage of records to assist in audits.
• Performing other related duties as assigned.
