Estimating Assistant

Explore opportunities to grow your career with us or one of our clients A client of AlphaStaffHCM is seeking an organized, detail-oriented, and proactive Estimating Assistant to support one of our key clients located in Bartow, Florida, an industrial maintenance company focused on providing high-quality products and services, and excellent service and support to its clients. This role offers a steady 5-day workweek and a close-knit, family-like environment. In this role, you'll support the estimating department by assisting with bid preparation, proposal coordination, project documentation, vendor communications, and administrative support activities. The ideal candidate enjoys working in a fast-paced office environment, has strong organizational skills, and takes pride in producing accurate, professional work. The standard work hours are Monday through Friday, 7:00 AM to 3:30 PM Responsibilities include, but are not limited to: Provide administrative support to the estimating department and other office personnel as needed Assist with organizing project documents, vendor information, and bid-related paperwork Enter information into spreadsheets, databases, and internal tracking systems Help prepare proposal packages, reports, correspondence, and other business documents Maintain organized electronic and physical filing systems Schedule meetings, coordinate calendars, and assist with administrative tasks Track and organize incoming project documents, drawings, specifications, and related materials Work closely with estimators and office staff to keep project and administrative information organized Other duties as assigned Qualifications High school diploma or equivalent required; Associate's or Bachelor's degree preferred 1-3 years of administrative assistant, office support, customer service, coordinator, or related experience Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook Strong organizational skills and attention to detail Excellent verbal and written communication skills Ability to manage multiple tasks and priorities in a fast-paced office environment Professional demeanor with a positive, team-oriented attitude Strong data entry, document management, and recordkeeping skills Comfortable learning new software systems and internal processes Experience working in a construction, industrial, manufacturing, project-based, or field services environment is a plus Experience supporting project documentation, purchase orders, proposals, or operational teams is a plus Bilingual Spanish is a plus Location: Bartow, FL Compensation, Perks, and Benefits Hourly range: $18-19 per hour depending on experience. This position is non-exempt. On occasion, you may be asked to work beyond the standard 40 hours to meet demands. In these instances, you will receive compensation of one and one-half times your regular hourly wage for all time worked in excess of 40 hours.
