Administrative Secretary - Sanitation

Administrative Assistant

Performs daily time keeping activities for operations programs as well as administrative staff. Work is performed under the limited supervision of the Senior Administrative Assistant and the Director.

Examples Of Duties
  • Must be able to meet deadlines on a consistent basis
  • Must be proactive in time keeping oversight and must be well organized
  • Supports staff, provides guidance and feedback to staff and to citizens
  • Gathers data, prepares, researches and analyzes complex information, identifies and resolves errors related to department/division specific programs or projects
  • Provides back-up to the Senior Administrative Assistant as necessary
  • Creates, updates and maintains a variety of difficult spreadsheets, databases and applications, analyzes information, prepares reports, tables and charts; drafts reports or summaries on specific subject/program areas
  • Assists in developing, revising and implementing policies and procedures related to department/division specific programs
  • Identifies, researches and resolves complex problems, issues, conflicts and situations utilizing advanced knowledge of the department programs and operations
  • Acts as a subject matter expert on department/division programs, policies and procedures
  • Serves as liaison within and between departments
  • Handles confidential and sensitive information and documents, situations and requests
  • Manages routine and special projects and schedules.
  • Assists in planning events, plans dates, coordinate's locations, materials, audio/visual and/or related set-up requirements, coordinates logistics on-site during event or program
  • May be required to work outside normal work hours
Typical Qualifications

Education and Experience: Associates/Technical degree with coursework in AAS - Administrative Secretary, or related field and considerable experience with customer service, team work, minute taking, basic accounting, or equivalent combination of education and experience.

Knowledge, Skills and Abilities: General knowledge of City policies and procedures; general knowledge of standard office practices principles, practices and techniques; general knowledge of department objectives and work programs; ability to make high level decisions using standardized practices; general knowledge of supervisory practices; ability to conduct research and knowledge of statistical techniques; ability to write clearly, simply and effectively; general knowledge of modern office practices and procedures; ability to prepare and comprehend complex documents, correspondence, information and reports; ability to analyze and resolve problems; ability to analyze, research and interpret complex documents, information, policies and procedures; ability to follow and understand advanced oral and written instructions; ability to access and navigate the internet; ability to provide leadership to other staff; ability to adapt to rapidly changing priorities and deadlines; thorough knowledge of Microsoft Office Suite and position related software; ability to organize and prioritize work; ability to work effectively individually and as a member of a team; ability to establish and maintain effective working relationships with supervisors, co-workers and the general public.

Physical Requirements: This work requires the occasional exertion of up to 10 pounds of force; work regularly requires sitting, speaking or hearing, using hands to finger, handle or feel and repetitive motions, frequently requires reaching with hands and arms and occasionally requires standing, walking, climbing or balancing, stooping, kneeling, crouching or crawling, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, using of measuring devices, operating machines, operating motor vehicles or equipment and observing general surroundings and activities; work occasionally requires exposure to outdoor weather conditions; work is in a moderately noisy location (e.g. business office, light traffic).

Special Requirements: Valid driver's license in the State of North Carolina.
