Job Summary :

Provide comprehensive administrative and clerical support to Actapio’s office, ensuring smooth daily operations and supporting other staff. Performs varied secretarial and administrative duties for the administrative department.

Principal Duties and Responsibilities :

· Issue purchase orders, maintain and organize accurate records.

· Processing of employee business expense reports.

· Procurement of office supplies and inventory management.

· Lease contract management for employee apartment and vehicles.

· Accounts Payable, invoice processing and related record keeping.

· Record management, data entry and creation of reports and other documents.

· Coordinates with vendors for services, prepares agendas, gathers and organizes supporting information.

· Assist in project management by tracking deadlines and facilitating communication

· Assist with vendor management.

· Answer phones, greet, respond, and resolve questions.

· Open, sort and distribute incoming mail and packages.

· Maintain and replenish office supplies and equipment and promptly respond to all office supply requests of other departments.

· Make reservations and other arrangements for company functions.

· Multitask appropriately and demonstrate the ability to remain focused and concentrate on detailed work.

Required Skills and Abilities :

· Working proficiency with Word, Excel, PowerPoint, Google Docs, and Google Spreadsheet.

· Excellent written and verbal communication skills.

· Must be able to occasionally lift up to 25 pounds.

· Must have a valid driver’s license and be able to pass drug screening.

· Must have regular and reliable attendance.

· Must model appropriate behavior including compliance with all policies and demonstrating accountability.

Job Qualifications :

· Education: Associate’s degree

· Experience: 1-2 years of related experience
