Description Position Summary: The Executive Assistant serves as a trusted partner to the President, providing high-level support while ensuring the efficient day-to-day operation of the corporate office. This role requires exceptional professionalism, sound judgment, confidentiality, and the ability to anticipate needs in a fast-paced, dynamic environment. In addition to supporting the President, the Executive Assistant provides administrative assistance to members of the Executive Leadership Team as needed and serves as the primary Office Manager for the Charlotte headquarters. Success in this role requires outstanding organizational skills, strong attention to detail, technical proficiency, and the ability to build collaborative relationships across all levels of the organization. Key Responsibilities: Executive Support
- Manage the President's calendar, prioritizing meetings, travel, and business commitments to maximize efficiency.
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense reporting.
- Prepare meeting agendas, presentation materials, reports, correspondence, and executive communications.
- Screen and prioritize requests, exercising sound judgment regarding urgency and appropriate action.
- Serve as a liaison between the President and internal and external stakeholders.
- Track key action items and follow up to ensure timely completion.
- Support executive meetings, leadership offsites, and company events as required.
- Handle highly confidential information with the utmost discretion and professionalism.
- Provide administrative support to members of the Executive Leadership Team as business needs require.
- Coordinate executive meetings, conference calls, and cross-functional initiatives.
- Assist with preparation of reports, presentations, meeting materials, and special projects.
- Help ensure effective communication and collaboration among executive leaders.
- Serve as the primary Office Manager for the Charlotte headquarters.
- Coordinate office operations to maintain a professional, organized, and welcoming workplace.
- Manage office vendors, supplies, equipment, and service providers.
- Coordinate office events, employee meetings, celebrations, and visitor logistics.
- Support workspace planning and office organization initiatives.
- Partner with HR, IT, Ops, and Finance to ensure smooth daily operations.
- Coordinate special projects and company initiatives on behalf of the President.
- Prepare reports, spreadsheets, dashboards, and presentations using Microsoft Office and other business applications.
- Maintain organized electronic and physical filing systems.
- Recommend and implement process improvements that increase efficiency and effectiveness.
- Assist with budgeting, purchase requests, and invoice processing as assigned.

- May require limited travel for company events or trade shows.
- Associate's degree or equivalent combination of education and experience; bachelor's degree preferred.
- Minimum of 4 years of experience supporting senior executive leadership in a fast-paced business environment.
- Demonstrated ability to manage multiple priorities while maintaining exceptional attention to detail.
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Experience using modern collaboration and productivity technologies.
