Administrative Associate

MRC Global serves the oil and gas industry across the upstream, midstream and downstream sectors as well as the chemical and gas distribution market sectors worldwide.
Job Purpose
Responsible for the execution of administrative services in support of branch sales, management, and warehouse teams in the delivery of high-quality service to internal and external customers and contacts.
Responsibilities
Individual must be able to perform the essential duties with or without reasonable accommodation.
Greet customers and answer incoming phonecallsandrefer inquiries to theappropriate person.
Promotes a safe workplace by visiblyparticipating,encouraging and considering safety in every aspect of daily activity.
Open and route incoming mail to theappropriatepersonandprepare outgoing mail.
Distribute and log special items to corporate departments, branch personnel, vendors, and customers as demanded by the specific department’s needs, such as sales quotes, brochures, department newsletters, periodic operations reports, etc.
Maintain calendars and itineraries for branch personnel, arrange meetings/conference calls/travel, etc.
Assureappropriate officesupplies inventory and office equipment is operational.
Scandocuments,establishandmaintainbranch records aremaintainedin accordance withthe company records retention policy.
Distribute daily,weekly,and monthly reports.
Perform efficient andaccuratedata entry using MRC Global specific software related to customer order processing,purchasing, receiving, inventory, accounts receivable, accounts payable/invoice auditing, and miscellaneous office processes.
Confirm accuracy of purchases with vendors, including shipping,billing,and customer support.
Conduct periodic audits to ensure compliance with business process standards.
Learn new business processes and office procedures asrequiredandserveas a resource to others.
Establish rapport and provide prompt responses to internal and external customer requests using written correspondence, proper phoneetiquette,and other effective interpersonal skills.
Maintain confidential informationpertaining tonormal supervisory duties, personnelissues,and customer issues.
Take reasonable care for the safety and health of yourself and others.
Report workplace hazards, injuries, or illnessesimmediately.
Qualifications
Any combination of requirements that provides the knowledge and abilities necessary to perform essential duties and responsibilities will be considered.
High School diploma or GED (General Education Degree) or equivalent combination of education and work experience that provides the knowledge and abilities necessary to perform the work.
Demonstratedproficiencyusing Microsoft Office Suite, including Excel and Outlook.
Ability to learn MRC Global business processes.
Demonstrated ability to communicate and work tactfully with diverse groups and individuals.
Demonstrated ability to consistently present professional behavior, empathy,image,and demeanor.
Knowledge of MRC Global products to serve thebranchcustomer base.
Work with minimal supervision, exercise good judgment, flexibility,initiative,and discretion.
Work within the details of a project whilemaintaininga perspectiveon the overall purpose.
Analyze situations, solve problems, evaluateresponses,andrenderassistance.
Present oral and written comments and recommendations clearly and concisely.
Aptitudeforlearningnew technology.
Maintaina goodcompany image whileestablishingstrong business relationships internally and externally.
Additional Qualifications
Must have the ability to provide documentation verifying legal work status.
Ability to read and speak the English language proficientlytocommunicate with others,understandand interpret safety instructions, and to respond to inquiries.
Ability tounderstandandcomply withMRC guidelines and expectations,includingCode of Conduct and Conflict of Interest guidelines.
