$21–$25/hour 

A busy West Palm Beach plaintiff personal injury firm is looking for an experienced Pre-Litigation Records Coordinator for a 3–6 month temporary assignment.

This position will focus heavily on obtaining and managing medical records and billing documentation for active personal injury matters. The firm needs someone who already understands the medical records retrieval process and can step in with minimal training.

Prior experience working with third-party medical records retrieval vendors/platforms is required. Candidates should be comfortable submitting requests through outside retrieval services, monitoring their status, resolving delays or deficiencies, and following requests through completion.

What You'll Be Doing

• Coordinate requests for medical records, itemized bills, and related documentation needed for pre-suit personal injury cases

• Submit and manage requests through third-party records retrieval vendors and online platforms

• Monitor pending requests and proactively follow up on overdue or incomplete records

• Communicate with hospitals, physicians' offices, treatment facilities, records custodians, and retrieval companies

• Research and resolve issues involving authorizations, affidavits, certifications, missing documentation, and rejected requests

• Review incoming records and billing documents for completeness and accuracy

• Update case files and maintain detailed notes regarding the status of outstanding requests

• Save, organize, and upload records into the firm's case management system

• Work closely with legal assistants, case managers, and attorneys to ensure necessary documentation is received as cases progress

• Provide additional pre-litigation and administrative support when needed

What We're Looking For

• Previous law firm experience required

• Hands-on experience using third-party medical records retrieval vendors/platforms required

• Plaintiff personal injury or pre-litigation experience strongly preferred

• Experience with Arctrieval or a similar records retrieval service is highly desirable

• Working knowledge of medical records and billing request procedures

• Strong follow-up skills with the ability to stay on top of a high volume of outstanding requests

• Excellent attention to detail and file organization

• Ability to prioritize multiple cases and deadlines without losing track of outstanding items

• Professional communication skills when dealing with medical providers, vendors, clients, and law firm staff

• Proficiency with Microsoft Office and the ability to learn case management software quickly

Location: West Palm Beach, FL
Schedule: Full-Time, In-Office
Assignment: Temporary, approximately 3–6 months
Pay: $21–$25 per hour
