Workplace Coordinator

Our client, a global impact investor, is seeking an enthusiastic and proactive Workplace Experience Coordinator to support their Palo Alto office. This individual will serve as the main point of contact for the office and play a key role in maintaining a professional, welcoming, and efficient workplace environment. This is a great opportunity for someone who is organized, service-oriented, and thrives in a fast-paced setting.
**Please note this is an onsite, 3-month contract with potential for extension based in Palo Alto, CA. Pay: $3538/hr.**
Key Responsibilities:
- Deliver a best-in-class workplace experience for employees, executives, and guests.
- Serve as the face of the office, greeting visitors and ensuring a seamless, professional experience.
- Manage office calendars, conference rooms, and shared spaces, ensuring efficient scheduling and utilization.
- Oversee daily office operations including inventory, pantry stocking, supply ordering, vendor coordination, and overall office upkeep.
- Support meetings and events end-to-end, including room setup, catering coordination, and materials preparation.
- Act as a go-to resource for employees, stepping in to support administrative needs and troubleshoot office-related issues.
- Handle mail, packages, and deliveries with accuracy and timeliness.
- Partner cross-functionally with internal teams to ensure smooth day-to-day operations.
- Identify opportunities to improve processes and enhance the overall workplace experience.
- Assist with ad hoc projects and provide flexible support as needed.
Qualifications:
- 3+ years of experience in workplace experience, office coordination, hospitality, or facilities support.
- Strong customer service mindset with a proactive, no task too small attitude.
- Excellent organizational skills with the ability to multitask and prioritize effectively in a fast-paced environment.
- Clear and professional verbal and written communication skills.
- High attention to detail with strong problem-solving abilities.
- Ability to take initiative, anticipate needs, and work both independently and collaboratively.
- Professional, polished demeanor with strong interpersonal skills.
- Comfortable supporting a dynamic team and adapting to shifting priorities.
