Facility Coordinator

Facility Coordinator – Site Support Services (SSS) The Facility Coordinator supports regional teams with desk‑oriented tasks to ensure Stanford Medicine facilities remain safe, functional, and compliant. This role manages service contracts, purchase orders, vendor communications, and inspections, and contributes to new site activations and operational reporting. Key Responsibilities Assist Facility Managers with incident response by disseminating communications using standard protocols. Support site inspections and related follow‑ups, coordinating vendor and internal teams on contract-purchase order paperwork. Generate annual letters to landlords regarding Fire Life Safety compliance; follow up on required information. Create and maintain materials for new site activations, including welcome packets. Organize contracting, purchasing paperwork, and cost tracking for site‑related projects. Maintain standards information for furniture, carpet, fabrics, and finishes; support furniture inventory management. Coordinate ICRA/PCRA documentation as needed. Collaborate with Facility Managers and Business Managers on financial management at the purchase order level. Update database information (customers, suppliers, landlords) and collaborate with Lease Administration. Handle event coordination (town halls, CICARE rounds, HR events, Campus Council) and prepare agendas. Perform condition assessments of each area/facility according to standard work, document findings, and follow up. Review documentation for completeness and generate reports from the electronic system. Manage, update, and report on the status of the work order calendar. Work with the Director of Facility Management on financial analysis, forecasting, and need assessments. Education and Experience High School Diploma or GED. 1+years of related work experience. Knowledge, Skills and Abilities Knowledge of general practices, programs, and/or administrative specialties. Proficiency in Microsoft Office Suite applications and standard office equipment. Strong command of English grammar, spelling, and punctuation. Familiarity with project management principles and practices. Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations with multiple and diverse demands. Compensation Base Pay Scale: Generally starting at $33.63 – $42.87 per hour. Final salary will be determined based on internal equity, experience, education, specialty, and training.
