Human Resources Assistant

We focus on building strong, cohesive teamwork to achieve the future success of our company. We are looking for a Human Resources Assistant to join our corporate office team in Woodbury, NY. This 100% in-office role reports directly to the Corporate Human Resources Manager and collaborates closely with other members of our Human Resources team across multiple locations. The ideal candidate will thrive in a close-knit office environment and bring a positive, pleasant demeanor, professionalism, and a strong interest in Human Resources. We are looking for someone who values teamwork, contributes to a welcoming workplace culture, and either has already begun their HR career or brings a strong administrative background with transferable skills. Responsibilities Play a key role in supporting and driving recruitment efforts, including creating and managing job postings, actively reviewing and screening candidates, coordinating and scheduling interviews, and performing reference checks and background screenings to ensure a smooth and efficient hiring process. Review new hire documentation for completion and accuracy and enter in the payroll system. Set up orientations and announcement for new hires and order business cards. Support and enhance recruitment and HR operations by leveraging AI tools and technology to streamline processes, improve candidate screening, and drive more efficient, data-informed hiring and benefits administration. Monitor and manage new hire health benefits onboarding, clearly communicating eligibility details to HR representatives across multiple locations, providing enrollment links. Run and update weekly and monthly data reports in Excel and suggest improvements. Reconcile benefit invoices to confirm successful enrollment and terminations. Track and follow up on due credits. Prepare monthly benefit invoices and process payments in portals within deadlines. Act as a backup for payroll processing for 250+ associates. Understand company policies and assist with associate inquiries. Help coordinate company events and communications. Track unemployment and workers comp cases and ensure timely response and compliance. Perform other HR and administrative tasks, as assigned. Requirements & Qualifications Recruitment and Benefit administration experience preferred. Confidentiality is crucial and must have strong work ethics. Professional demeaner, a positive attitude, and ability to always remain composed. Must be computer savvy and proficient in MS Office, particularly Word and Excel (formatting, formulas, etc.), as well as editing PDF files. Must be detail oriented and possess strong analytical skills. Experience with Outlook, calendar management and event planning a plus. Experience with Paylocity a plus.
