Administrative Executive Assistant

Established property management office seeking a dependable and organized Administrative Assistant to support the daily operations of cooperative and condominium communities throughout Long Island and New York City.

This position is ideal for an individual who is detail oriented, professional, and comfortable handling multiple responsibilities in a fast paced office environment.

Responsibilities include:

• Answering and directing telephone calls and emails

• Assisting residents, shareholders, board members, and vendors with inquiries

• Preparing letters, notices, and general correspondence

• Maintaining building files, records, and databases

• Coordinating appointments, inspections, and vendor access

• Processing work orders and service requests

• Assisting with accounts payable, receivables, and administrative tracking

• Supporting property managers with day to day operations

• Filing, scanning, and general office administration

Qualifications:

• Prior office or administrative experience required

• Property management experience preferred but not required

• Strong communication and customer service skills

• Proficiency in Microsoft Office, including Word, Outlook, and Excel

• Ability to multitask and prioritize assignments

• Strong organizational skills and attention to detail

• Professional demeanor and dependable attendance

Professional office environment with opportunities for growth and advancement.
