Description This position is 100% on‑site Mon‑Fri in Downtown Los Angeles. A hybrid schedule of 1 remote day per week will be available after 90 days. Eisner health is seeking an exceptional executive support professional with experience in fast-paced, mission‑driven environments. The ideal candidate demonstrates outstanding organization, discretion, sound judgment, and strong communication skills, along with the ability to anticipate the needs of executive leadership. As a Federally Qualified Health Center (FQHC), we provide comprehensive, culturally responsive care across every stage of life, including primary care, pediatrics, women's health, behavioral health, dental, optometry, dermatology, pharmacy, laboratory services, and care coordination. This is a highly visible and trusted position at the center of the Executive Office. You will provide high‑level administrative and strategic support to the CEO while serving as a key liaison to the organization’s Boards of Directors, Board Chairs, committee members, senior leadership, community partners, and other stakeholders. The ideal candidate is a polished, highly organized professional who can confidently manage competing priorities, protect confidential information, coordinate complex executive and Board activities, and ensure that important details never fall through the cracks. What You’ll Do Provide comprehensive, executive‑level support to the President & CEO with a high degree of discretion and independent judgment. Manage a complex executive calendar, including internal and external meetings, Board meetings, leadership meetings, community engagements, and appointments. Anticipate scheduling conflicts, prioritize competing requests, and ensure meetings are coordinated seamlessly. Prepare, proofread, and distribute executive correspondence, presentations, reports, spreadsheets, meeting materials, and other documents. Coordinate executive travel, itineraries, accommodations, and meeting logistics. Serve as a professional point of contact between the CEO and senior leaders, employees, Board members, community partners, government representatives, donors, vendors, and other stakeholders. Handle highly sensitive and confidential matters with professionalism, discretion, and sound judgment. Support special projects and strategic organizational initiatives requiring coordination across multiple departments and external partners. Serve as the primary administrative liaison between the CEO and the organization’s Boards of Directors, Board Chairs, officers, and committee members. Coordinate regular and special Board and committee meetings, including scheduling, notices, invitations, attendance, quorum coordination, logistics, and follow‑up. Partner with the CEO, Board Chairs, executive leadership, and staff to develop agendas and meeting materials. Compile, organize, review, and distribute Board packets, presentations, reports, resolutions, and supporting documentation. Attend Board and designated committee meetings and prepare accurate official minutes, documenting motions, resolutions, actions, and follow‑up items. Maintain organized, accurate, and confidential governance records, including minutes, resolutions, Board rosters, attendance records, committee records, and corporate documents. Track Board deadlines, approvals, action items, annual requirements, and follow‑up responsibilities. Coordinate Board communications and serve as a resource to Board members regarding meetings, materials, schedules, and administrative matters. Support Board onboarding, orientation, annual documentation, and other governance activities. Maintain and support the organization’s Board management platform, including BoardEffect or a comparable system , ensuring Board members have timely access to current materials and governance information. Special Events & Strategic Projects Support CEO and Board retreats, recognition activities, special functions, meetings, and organizational events. Plan and coordinate special events in partnership with leadership and internal departments. Manage event timelines and logistics, including venues, vendors, catering, entertainment, décor, audiovisual needs, invitations, RSVPs, transportation, supplies, setup, breakdown, and day‑of coordination. Obtain vendor proposals and estimates, coordinate contracts and payments, track expenses, and help maintain events within approved budgets. Collaborate with facilities, internal departments, vendors, community partners, and leadership to deliver professional, mission‑aligned events. Develop event timelines, checklists, guest lists, seating arrangements, run‑of‑show documents, and other event materials. Provide on‑site leadership and troubleshoot logistical issues before, during, and after events. Qualifications We’re looking for a professional who combines executive presence with exceptional attention to detail and can operate with confidence in a highly confidential, deadline‑driven environment. Required/Preferred Qualifications: Bachelor’s degree preferred; an equivalent combination of education and relevant professional experience may be considered. 3–5 years of progressively responsible administrative experience , including experience supporting a senior executive, C‑suite leader, or comparable leadership position. Prior experience supporting a Board of Directors, Board committees, corporate governance activities, or executive‑level meetings strongly preferred. Experience coordinating special events or large‑scale organizational functions strongly preferred. Exceptional organizational and project‑management skills with the ability to manage multiple priorities and deadlines simultaneously. Demonstrated ability to handle confidential and sensitive information with discretion. Excellent written and verbal communication skills, with the ability to interact effectively with executives, Board members, donors, community leaders, vendors, employees, and external stakeholders. Strong attention to detail and the ability to prepare accurate meeting minutes, correspondence, presentations, reports, and Board materials. Ability to anticipate needs, exercise independent judgment, solve problems, and take initiative with minimal supervision. Strong proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and Teams; Zoom; Adobe Acrobat; and Board or document‑management platforms. Experience with BoardEffect or comparable Board management software preferred. Experience coordinating vendors, contracts, budgets, timelines, and event logistics preferred. Willingness and ability to occasionally work outside standard business hours for Board meetings, special events, and executive activities.
