We're looking for a highly organized, detail-oriented, and proactive Administrative Assistant - Operations to serve as a key support member across our organization. This role provides administrative and operational support to multiple departments-including Sales, Human Resources, Marketing, and Operations-to help ensure our day-to-day business runs smoothly.

What You'll Do

As our Administrative Assistant - Operations, you'll help keep our business running efficiently by:
  • Providing administrative support across Sales, Human Resources, Marketing, and Operations.
  • Reviewing sales orders for accuracy and preparing customer documentation.
  • Coordinating product sample shipments and assisting with customer follow-up.
  • Serving as the first point of contact for incoming phone calls and directing inquiries appropriately.
  • Assisting with recruiting activities, interview scheduling, onboarding, employee documentation, and maintaining confidential personnel records.
  • Supporting employee engagement initiatives and other HR projects.
  • Coordinating marketing materials, maintaining promotional inventory, and assisting with trade shows, events, and marketing campaigns.
  • Preparing reports, managing documents, and assisting leadership with administrative projects.
  • Identifying opportunities to improve processes and increase efficiency across departments.
  • Collaborating with team members to solve problems and support company goals.
  • Managing multiple priorities while maintaining accuracy, professionalism, confidentiality, and exceptional customer service.
  • Assisting with special projects and taking on additional responsibilities as the company continues to grow.

Qualifications
  • 2+ years of experience in an administrative, office support, operations, or similar role preferred.
  • Strong proficiency with Microsoft Outlook, Word, and Excel.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Ability to handle confidential information with professionalism and discretion.
  • Experience in manufacturing, construction, or a related industry is a plus, but not required.
