Unit Coordinator, Surgical Neuroscience Intensive Care Unit, 24 Hours (Evenings)

Overview POSITION SUMMARY: Responsible for the overall clerical functions of the nursing station/front desk. Working collaboratively with the clinical team, the Unit Coordinator participates in delivery of patient care by providing a variety of clerical, customer relations, and support services to patients, their families/visitors, and healthcare team members. Position: Unit Coordinator Department: Surgical Neuroscience Intensive Care Unit - SICU Schedule: Part Time, 24 Hour, Evenings. Responsibilities Care of the Patient and Family/Visitors: Performs direct service activities to ensure patients and families/visitors receive timely information and appropriate responses; greets and directs patients, families, visitors and staff in a friendly, courteous, positive customer service manner; identifies self; provides informative, non-clinical information when requested by patients, families, staff or visitors; interacts in a courteous professional manner. Coordinates activities of front desk/office support services; performs clerical duties for the department; answers/responds to telephone calls and inquiries in a timely manner; handles inquiries; refers calls/inquiries to appropriate personnel; checks and replies to e-mail and voice messages during shift. For Respiratory Therapy Dept: logs in to the pulmonary function test (PFT) extension at the start of each shift, follows breaks and lunch; logs off the PFT extension at breaks, lunch, and end of shift; uses manual/computer programs/terminal for access and data entry of patient information, verifies and updates as necessary, prints reports, faxes as needed, orders items as needed, schedules appointments, verifies information, etc.; answers patient call lights promptly and responds to patient requests within the scope of role; follows up on call light requests to ensure nursing staff has responded. Maintains communication data (computer, charge/white boards, daily communication sheets, assignment sheets, updates room name tags, etc.) and participates in orienting patients to their room, call lights, telephones, and unit information; distributes welcome letters and informational packets; initiates daily RN phone assignment and triage calls through the patient call system. Secures patients’ personal property, maintains a belongings list for every patient, copies belongings lists at discharge, and files them appropriately; monitors healthcare software and bed board for discharge orders, prints discharge summaries, places discharge summaries in charts, and schedules clinic appointments prior to discharge; handles and distributes mail, flowers, gifts, etc. Facilitates patient/family/visitor access to hospital services (cafeteria, chapel, gift shop, parking, cashier, etc.); identifies emergency situations and initiates appropriate response actions; familiar with the area disaster plan and unit. Coordinates transportation for patients and related materials (VA, chair car, patient transport, medical records, specimens, etc.), using computer software/terminal for data entry; interfaces among departments to ensure timely service information and materials; identifies and resolves questions and discrepancies within scope of role. Performs a variety of office and clerical functions (photocopying, faxing, etc.); manages copier maintenance and supplies; coordinates unit communications, including paging physicians or staff and contacting family members/next of kin. May assist in patient admission, discharge, and transfer processes by handling insurance pre-approvals, demographic verification, and medical records handling as applicable. Medical Records and Order Entry: Maintains accurate patient care records; prepares charts/labels on admission; ensures chart completeness and proper labeling; retrieves and enters data, communicates findings to clinical team, and maintains unit databases and logs (e.g., diet list, census, supply logs). Transcribes patient care orders accurately and timely; collaborates with healthcare team to coordinate test/procedure scheduling and pre-test/procedure preparation; communicates test/procedure schedule and changes to patients, families, PCPs, consultants, and staff. Maintains Downtime materials and guides staff in downtime procedures; ensures Downtime Box availability and location familiarity; handles downtime computer and printer access. Care of the Environment, Equipment and Material Supplies: Performs activities to maintain a clean, safe unit environment; conducts daily rounds; initiates repair orders and tracks equipment; orders supplies and maintains par levels; troubleshoots basic office equipment and performs routine maintenance tasks. Work Rules, Standards, and Competency: Supports a positive work environment; adheres to hospital policies, standards, and regulations; participates in meetings, quality initiatives, and educational activities; maintains uniform and I.D. badge; assists in orientation of new staff; adapts to changing needs and coordinates breaks with unit activities; promotes hospital mission and infection control practices. Qualifications Education: Requires a high school education or GED. Experience: One to two years of clerical experience; healthcare setting preferred. Certificates/Licenses/Registrations: Competency requirements as offered; may require additional hospital-specific certifications. Knowledge and Skills: Proficiency in English (spoken and written); multilingual skills preferred; ability to interpret medical terminology; proficiency with Microsoft Office and hospital systems (e.g., SEM, IDX, SDK); ability to troubleshoot basic office equipment; strong interpersonal skills; excellent organizational skills; ability to manage multiple tasks in a fast-paced environment.
