With more than 70 years of collective experience diagnosing and treating infertility, SDFC is a leading fertility provider in San Diego, and is proud to host patients from throughout the world for IVF and other fertility treatments.SDFC is seeking a full-time, Patient Care Coordinator for our Del Mar location. The Patient Care Coordinator (PCC) serves as a primary point of contact for patients undergoing fertility treatment. This role is responsible for coordinating care across the clinical, financial, and administrative aspects of a patient's journey. The PCC ensures patients are prepared, educated, financially cleared, and supported throughout all phases of treatment while maintaining accurate and complete documentation in the electronic medical record (EMR).General Duties:Serve as a consistent liaison between patients, physicians, nursing staff, embryology, and financial teamsFacilitate timely, clear, and compassionate communication with patients regarding next steps, instructions, and expectationsEducate patients on the treatment process, required testing, timelines, and key milestonesEnsure patients are informed, prepared, and up to date at each stage of carePhysician Schedule & Appointment ManagementManage and support physician schedules related to patient visits and treatment cyclesAssist patients with scheduling appointments, procedures, and follow-up visitsCoordinate care to ensure appropriate sequencing of visits and testingChart Preparation & EMR ManagementPrepare and review patient charts in the EMR prior to appointments and treatment cyclesEnsure all required documentation, labs, imaging, and consents are complete and currentMaintain accurate, organized, and timely chart updates throughout the patient's carePre-Cycle Testing & ConsentingCoordinate and track required pre-cycle testing, including labs and diagnostic proceduresReview testing requirements with patients and ensure completion prior to treatment startFacilitate patient consents and confirm all required forms are signed and documentedFinancial ClearanceCoordinate with the financial team to ensure patients are financially cleared prior to treatmentCommunicate financial requirements, approvals, and outstanding items to patients as neededTreatment Planning & Cycle PreparationPrepare patients for their treatment calendar and review key dates, medications, and expectationsOrder pre-treatment medications per physician protocols and clinic processesPrepare patient charts for treatment cycles, ensuring all components are complete prior to cycle startQuality & ComplianceEnsure adherence to clinic policies, protocols, and regulatory requirementsMaintain patient confidentiality and HIPAA compliance at all timeOther duties as assigned.QualificationsHigh school diploma required; associate's or bachelor's degree preferredMinimum of 1–2 years of experience in fertility or women's health experienceExperience working with EMRs requiredStrong organizational skills and attention to detailExcellent written and verbal communication skillsAbility to manage multiple patients and tasks in a fast-paced environmentCompassionate, patient-centered approach with high emotional intelligencePreferred ExperienceFertility, OB/GYN, or specialty healthcare experienceFamiliarity with fertility treatment cycles, medications, and terminologyExperience coordinating insurance, authorizations, or financial clearanceCore CompetenciesPatient advocacy and educationTime management and prioritizationAccuracy and documentationTeam collaborationProfessionalism and discretionIvy Fertility is an equal opportunity employer.
