Job summary:
This position plays a key role in the smooth and efficient operation of the company's administrative functions for the Western New York Region. The successful candidate will be responsible for assisting the Western New York Management staff with daily office operations and administrative functions. The candidate will be reliable and detail-oriented and play a key role in keeping the office organized, supporting staff, managing quotations, requests for quote (RFQ), and coordinating purchasing activities. The position requires strong organizational skills, the ability to multitask, and experience with administrative tasks.
Duties and responsibilities:
Office Management
• Manage and administer general office operations and services, ensuring a smooth and efficient work environment.
• Answer phone calls, manage emails, and handle general inquiries professionally.
• Maintain organized records, files and documentation.
• Maintain office supplies and inventory.
• Provide administrative and clerical support to management and staff as needed.
Qualifications
• Post-secondary education in accounting, business administration, human resources, or a related field is typically required.
• Excellent organizational skills, attention to detail, and ability to manage multiple priorities and meet deadlines.
• Strong analytical and problem-solving skills.
• Effective verbal and written communication skills to interact with employees, vendors and management.
• Demonstrated ability to maintain confidentiality concerning financial and employee information.
• Proficiency with Microsoft Office.
• Ability to learn and be very proficient in IICC’s in-house and cloud-based applications (training provided).
Working conditions
• Office-based environment and site office in Buffalo area
• May involve periods of high workload
• Strict adherence to deadlines is often required
