Converts requisitions to purchase orders. Complies and maintains accounts payable records by performing the following duties.# # Job DescriptionEXAMPLES OF WORK PERFORMED • Audits accounts payable purchase orders and enters data as required for the generation of the weekly vendor meeting • Converts requisitions to purchase orders for all county departments daily • Maintains open purchase order file for all county departments and reconciles with MUNIS reports quarterly • Verifies all purchase orders pulled into report for BOCC secretary and make copies as needed for District Attorney purchase orders • Prepares coding for cancellations of purchase orders when requested by county departments • Miscellaneous duties include handling telephone inquiries by department bookkeepers regarding payment of purchase orders and corrections of purchase orders and filing of miscellaneous items • Performs other duties as needed REQUIRED SKILLS KNOWLEDGE AND ABILITIES • Skills in 10-key by touch, typing 40 WPM, and data entry experience in Excel, and MUNIS purchase order system • Knowledge of debits and credits; purchase order policy and procedure; the ability to process a large volume of purchase orders accurately; to detect errors • Deal with county employees tactfully SUPERVISORY RESPONSIBILITIES This job has no supervisory responsibilities. May cross train in other areas within the accounting department. LANGUAGE SKILLS Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the county. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all unites of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent. REASONING ABILITY Ability to apply common sense understanding to carry out detailed instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
