Billing Specialist

Role Description

The Part-Time Invoicer will be responsible for preparing, reviewing, and sending weekly client invoices through QuickBooks Online. The ideal candidate has experience handling high-volume invoicing across multiple clients, is extremely detail-oriented, and enjoys working in a fast-paced, structured environment. You’ll manage invoicing for approximately 10–40 clients weekly, representing 100–400 consultants, ensuring all billing data aligns with timesheets, contracts, and project deliverables.

Key Responsibilities

• Prepare, review, and issue accurate weekly invoices to clients in QuickBooks Online.
• Reconcile billing data with consultant timesheets, project records, and client purchase orders.
• Maintain up-to-date client records, ensuring proper billing terms and contact details.
• Track invoice status, monitor payments, and follow up on overdue accounts as needed.
• Collaborate with the operations and recruiting teams to verify hours and project details before billing.
• Generate billing reports and summaries for internal stakeholders.
• Support month-end reconciliation and reporting processes.
• Identify and correct invoicing discrepancies or data inconsistencies.
• Maintain organized digital records and adhere to company data and privacy standards.
• Communicate clearly and professionally with clients and internal teams; excellent written and verbal English is required.

Qualifications

• 2+ years of invoicing or bookkeeping experience, preferably in a service-based or consulting business.
• Proficiency in QuickBooks Online is required.
• Experience invoicing multiple clients with varying billing structures.
• Strong attention to detail and excellent organizational skills.

Requirements

• Must be available during Mountain Daylight Time hours.
• Up to 20 hours per week.
