Executive Admin to COO

The Opportunity:
Reporting to the Chief Operating Officer (COO) at CSL, as the Executive Administrative Assistant, you will provide primary support in their day-to-day activities across multiple time zones while serving as a liaison to global CSL colleagues along with external clients, vendors, partners, and governments, etc. Your primary responsibilities will consist of handling confidential business and personnel information, and managing the time/interaction the COO has with internal and external sources. You will obtain and organize information for use in conferences, speeches, and reports as requested by the COO. You will schedule/coordinate meetings, diaries, and travel arrangements. You will edit, proof, format, and document design/production, and manage all form filling and data entry.
This is a hybrid role, which offers a combination of an onsite and remote work schedule. #LI-hybrid
The Role:
- Act as primary support/point person to COO.
- Serve as liaison to the COO for global CSL colleagues along with external clients, vendors, partners, governments, etc.
- Develop working relationships with COO, Global Leadership group (GLG) and GLG Global Executive Assistants. Provide back up to GLG members and their EA's when required.
- Create and maintain COO's global calendar including all meeting and travel scheduling.
- Arrange all aspects of COO Business travel through CSL designated travel agency for all domestic and international travel, along with charter flight service.
- Manage weekly individual meetings between COO leadership team.
- Collaborate Internally with all primary CSL departments: Finance, IT, HR, Legal, Communications, Facilities, R&D, Commercial.
- Assist with budgeting and expense reporting. Process all expenses reports according to CSL Company Policies. Collaborate with finance business partners to manage adjustment to COO's account throughout the year.
- Manage all internal and external communications, presentations, speeches in collaboration with global Communications where required.
Your Skills and Experience:
- Associate's degree or equivalent vocational or technical training.
- 7+ years' experience providing administrative support for upper-level management.
- Thorough knowledge of corporate policy, business operations and contacts.
- Strong organizational, interpersonal and communication skills.
- Proficiency in Microsoft Office.
- Comfortable operating in an international/matrix environment. Ability influence, manage conflicts and deal with sensitive and confidential situations.
- Strong results orientation, coupled with proven track record of success as Executive Admin.
- Collaboration, interpersonal effectiveness, and excellent listening and communication skills.
- Flexibility to assist COO across global time zones according to COO's schedule.
