Building Secretary

The Building Secretary supports the building Administrator(s) by performing office and clerical duties. The Building Secretary provides direct support to students, parents, and staff to enhance the overall educational experience for everyone.

Assists building administration and/or Administrative Assistant with general office operations. Duties include:

• Serves as a first line to welcome and support students, parents, staff and community members
• Receives and routes incoming phone calls and email to appropriate staff
• Dispense and record approved student medications as directed
• Organize building's substitute placements for support staff and certified staff in conjunction with Principal
• Work with Principal(s) to process and maintain accurate records (i.e., Records Requests, Count Day reporting, attendance and truancy reports, etc.)
• Oversee Fall and Spring Pupil Accounting and CRDC Data per building level reporting
• Assist principal with building class lists
• Assist in the coordination and distribution of state testing materials, as needed
• Support Principal(s) in the process and completion of orders and building budgets as directed by administration
• Support other secretaries with task completion as needed
• Create, update, and disseminate building updates through building newsletters and web pages as needed
• Other duties as assigned by building principal, administrative assistant, or district office staff

Minimum Qualifications:

• High school diploma
• Ability to work cooperatively with students, parents, school personnel, and community
• Ability to communicate effectively at various levels with students, parents, school personnel, and community
• Evidence of a positive attitude and human relation skills. Evidence of high standards of ethics, honesty, and integrity in personal and professional matters
• High level of flexibility and dependability
• Integrity and good judgment

Knowledge/Skills/Abilities:

• Ability to read and comprehend instructions, short correspondences, and email
• Ability to write simple correspondences and effectively present information in one-on-one and small group situations to students, parents, staff, and the general public
• Ability to solve problems and do simple computation, calculate percentages and use a calculator
• Interpersonal skills and teamwork
• Ability to successfully manage multiple tasks, projects and responsibilities
• Working knowledge of Microsoft Office Suite including Word, Excel, PowerPoint, etc. Knowledge of education software systems is preferred (PowerSchool and PowerGrade)
• Ability to use other office equipment (copy, scan, print, etc.)

• While performing the duties of this job, the employee is frequently required to stand, walk, sit, use hands to handle or feel; reach with hands and arms, stoop, kneel, or crouch; talk or hear. Cedar Springs Public Schools is a Preschool through 12th-grade public school consisting of over 3,000 students and nearly 400 employees. We are located within the city limits of Cedar Springs, Michigan in Kent County. Cedar Springs Public Schools is one of 20 member public school districts within the Kent Intermediate School District (KISD). We are unique in that our schools are all located within a single campus setting with the exception of the Middle School which is located 1 mile south of the main campus. The setting is secure, picturesque, and allows easy access for families participating in activities for more than one child.
