Responsibilities for the Administrative Specialist II:
- Serve as the primary backup to the switchboard operator to include switchboard coverage for lunch, breaks, and additional support as volume dictates. Update VOIP phone log for Center. Cover the AOS and CAF reception areas as needed to include performing cashier duties and collection of fees paid as part of coverage.
- Review incoming mail for routing, response, filing, or action; deliver mail, organize and maintain returned mail database; update patients records for returned mail. Maintain electronic postage meter to include ordering postage supplies and reloading postage funds as needed.
- Update patient data sheets daily. Review patient data in EHR and updates file as needed. Communicate updates daily to front office team.
- Retrieve daily report data from Intouch Communications for Greenville Clinic; Reschedule or cancel appointments accordingly.
- Send letters to patients about updating their voter registration.
- A high school diploma. Related clerical experience may be substituted for a high school diploma.
- Two (2) years of clerical experience, or an associate degree in secretarial science or a related field; or three (3) years of clerical experience.
- Bilingual abilities in English and Spanish (or another language) are a plus.
- Have general knowledge of office practices/procedures.
- Have the ability to collect, compile and assemble information in a clear, concise manner.
- Have the ability to communicate effectively with the public.
- Be able to pass CPR and Managing Agitation in the Psychiatric Setting (MAPS) Certification.
