Departmental Overview IEOR is a department within the College of Engineering where researchers investigate the latest mathematical tools, approaches, and methodologies to make new theoretical discoveries and innovations that touch nearly every industry, making them more efficient and profitable in areas such as supply chain, logistics, manufacturing, data science, energy systems, robotics, and management. The University of California, Berkeley Master of Analytics degree trains students to build cutting-edge data and quantitative skills preparing them for exciting roles in the industry. There is a very high demand for analytics professionals who have the ability to analyze large amounts of data and offer solutions critical for success. These skills are needed in every sector of the economy, including commerce, healthcare, information technology, entertainment, finance, energy, security, transportation, consulting, and many more. This position is designed to provide comprehensive administrative, facilities, HR, operational, financial, and instructional management support to the Master of Analytics Program - Career Services Team. The Programs Coordinator & Operations Specialist plays a critical role in the successful day-to-day operations of the office by providing a high level of administrative support to the Career Services Team and IEOR Unit. The position requires balancing multiple, often simultaneous, activities and prioritizing work to ensure that tasks are completed on time. The position requires a high level of student services knowledge, professionalism, excellent interpersonal and communication skills, the ability to support and work in a dynamic environment, and a high degree of personal ownership to ensure quality work products are delivered and support activities are performed in an organized manner. Responsibilities Co-develop/create/manage Master Analytics Program alumni and current student surveys, including supporting outreach plans, approaches, trends, sources and uses. Co-lead in the creation of student information systems to utilize data-driven strategies and best practices to inform student success strategies and address matters related to student retention, program marketing and admissions. Provide Master of Analytics Program with administrative support across career services, student services, marketing, admissions, facilities and overall program planning and execution. Support, manage, plan and administer a range of administrative operations across Career Services, Student Services, Events, Course Support, General unit and HR support. Assist with Master of Analytics program event planning, execution and set-up related duties, including admissions, orientation, graduation, employer visits, place-based immersions, live virtual events, annual showcases and competitions. Co-lead in creating processes to gather student information on student success platforms to maintain case management of students served, including data entry, tracking and reporting and surveys (annual, semi-annual, monthly). Support and assist the MAnalytics program Student Services team with OPT requests and letter verification requests; event support such as New Student Orientation, Commencement and Visit Day; info session back-up support; event coordination with student groups. Provide operational and administrative support to the Master of Analytics Program, including participation in the development of student support procedures and guidelines; gather, analyze, prepare and summarize reports around career outcomes, financial activity, and HR reports. Lead a small staff of Blum student staff, assigning schedules, hiring, establishing task roles and setting priorities; coordinate HR and onboarding responsibilities including employee training and new student orientation. Oversee Blum facilities and space logistics, including building reservations policies, equipment access, space inventory, and AV guidelines for Blum Rooms, Classroom and Conference Space Reservations. Assist the Program Director with planning and coordination of program operations; provide direct support through case management reporting, data summaries, and tracking tools that inform decision-making and program improvement. Perform other duties as assigned. Required Qualifications Bachelor's degree in related area and/or equivalent experience/training. Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills. Knowledge of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines. Ability to use discretion and maintain confidentiality. Strong skills in short-term planning, analysis, problem-solving, and customer service. Preferred Qualifications Thorough knowledge of University rules and regulations for budget, accounting and fund management, and/or personnel management. Solid knowledge of common University-specific computer application programs. Thorough knowledge of financial analysis and reporting techniques, and/or HR policies and procedures for staff and academic employees. Demonstrated ability to develop reports using Microsoft Excel and summarize/analyze large datasets using Pivot Tables, VLOOKUP and conditional formatting. The budgeted salary or hourly range is $97,572.24 (Step 1) to $101,497.68 (Step 3) yearly; the full salary range is $97,572.24 to $147,872.16 yearly. This is a 100% FTE career position eligible for full benefits. This position is FLSA Exempt and paid monthly. Other Information This position requires at least 4 on-site days per week.
