Workplace Experience Coordinator

About the role As a CBRE Workplace Experience Coordinator you will deliver a world‑class customer service experience to employees and guests of a designated building. You are part of the Workplace Experience function and responsible for providing world‑class customer service to clients and visitors. What You’ll Do Serve as the first point of contact, greeting guests with a friendly, welcoming demeanor. Partner with security to support access needs for employees and visitors. Answer telephone calls professionally and direct inquiries to the appropriate contact. Deliver an elevated hospitality experience with genuine, authentic yet professional interaction. Provide recommendations and solutions across the organization, supporting project presentations and speaking to groups. Show knowledge of the building, workplace, and surrounding areas. Coordinate key contacts and communication methods for strategic partners, handling requests and escalations. Arrange and confirm recreational, dining, and business activities for requestors. Perform daily walk‑throughs, reporting and following up with vendors or teams on details. Manage janitorial or maintenance work orders as needed and coordinate workplace services such as mail, office supplies, pantry, and amenities. Acknowledge and resolve inquiries or complaints from employees, guests, and co‑workers professionally. Anticipate guest/ client needs and offer solutions proactively. Take ownership of tasks or issues and follow up to close them, demonstrating emotional intelligence. Communicate daily with executive assistants, key bookers, COOs, and other C‑suite executives. Organize and manage on‑site events and activations, securing spaces, setting up and tearing down rooms, and delivering supplies. Adhere to property‑specific security and emergency procedures, notifying appropriate parties for safety. Coordinate with vendors supplying services or goods to the workplace. Explain detailed or complicated information within the team, following specific directions from management. Maintain accurate details in shared calendars or meeting systems, updating as necessary. Actively monitor mailboxes, ensuring all emails are responded to or actioned within 24 hours. Provide catering menus to bookers and answer questions, especially regarding dietary and allergen requests. Research clients and visitors, communicating VIP visits to the team and sharing standard arrival templates. Prepare and reset meeting rooms, ensuring consistency and managing cleanliness and aesthetic standards of client‑facing spaces. Assist with activations, displays, and celebrations within the workplace. Check government‑issued identification upon arrival of external guests. Communicate directly with clients when registered or unregistered visitors arrive. What You’ll Need High School Diploma or GED with up to 2 years of job‑related experience. Ability to follow basic work routines and standards. Strong communication skills for exchanging straightforward information. Working knowledge of Microsoft Office products (Word, Excel, Outlook, etc.). Excellent organizational skills with an inquisitive mindset. What To Expect The position requires on‑site support five days a week, Monday – Friday. Shift schedules may vary based on business demands.
