Patient services representative

Role Overview We are seeking a dedicated and organized Patient Services Representative II to serve as the welcoming first point of contact for patients entering our outpatient medical facility. In this vital administrative role, you will ensure a smooth, efficient, and compassionate experience for patients and their families. Please note: This role is focused exclusively on administrative and front-desk support within an outpatient setting and does not involve inpatient or direct clinical care functions. Key Responsibilities Patient Intake & Greeting: Warmly greet and check in patients upon arrival, facilitating the completion of necessary intake forms. Data Management: Verify and meticulously update patient demographic and health insurance information within the Electronic Health Record (EHR) system. Scheduling & Coordination: Schedule patient appointments, manage front-desk phone lines, and confirm medical authorizations. Financial Transactions: Process and collect payments for healthcare services and patient billing. Administrative Support: Execute general clerical workflows, maintain accurate medical documentation, and ensure both routine and high-priority tasks are completed within departmental time frames. Communication: Communicate professionally and clearly with patients, families, healthcare providers, and internal staff. Workspace Maintenance: Maintain a clean, safe, and highly organized reception and workspace area. Compliance: Adhere strictly to organizational policies, regulatory requirements, and all Protected Health Information (PHI) privacy standards. Required Qualifications Education: High School Diploma or equivalent education/experience. Experience: 1+ year of recent, relevant experience in patient services, medical registration, front desk operations, or medical office support. Technical Skills: * Proficiency in Microsoft Office Suite (Word, Excel, and Outlook). Hands-on experience navigating and updating Electronic Health Records (EHR). Industry Knowledge: Basic understanding of insurance policies, billing procedures, intake workflows, and medical authorizations. Soft Skills: * Exceptional ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced, high-interruption environment. Demonstrated capability to maintain strict confidentiality.

Responsibilities
