The role focuses on administering the HR information system and managing data processing tasks. Job Overview The HRIS Data Specialist serves as the front-line administrator and internal contact for the HR information system and data processing function for the Human Resources Department, including entering, maintaining, auditing, and processing sensitive data. Work Hours Typically Monday – Friday; hours may vary to meet department needs. Reports To Director, Total Rewards Prerequisites Associate’s degree with major coursework in information systems, computer science, data mining, or related field, or four years of relevant experience to replace the degree. Minimum of two years of direct experience with high volume data processing/entry, data analysis, and reporting. Preferred: Minimum of two years’ experience in a human resources function. Qualifications Experience with Infor/Lawson or Kronos HRIS systems strongly preferred. Advanced Excel skills including macros, functions, formulas, pivot tables, and lookups. Strong understanding of HR processes and best practices. Proven time‑management and prioritization skills. Proven ability to establish strong working relationships and communicate effectively. Sound judgment and discretion with confidential information. Ability to work effectively with all levels of staff and management. Strong organizational skills and the ability to work independently. Essential Responsibilities and Competencies Serve as the primary recipient of organization‑wide HR action forms. Ensure timely and accurate input of employee data changes into the HRIS. Validate completion or routing of each form based on HR processes. Maintain impeccable records of change and request approvals. Audit data entry in HRIS regularly to review accuracy and compliance. Act as the initial escalation point for data corrections in the Infor database, escalating as needed. Provide HRIS data support for HR staff, associate end‑users, and senior management. Plan and implement recordkeeping processes for permanent personnel records. Assist with preparing HR metrics for senior leadership meetings. Participate in the creation of new queries and reports as needed. Initiate technology service requests for revisions or new HRIS modules. Support all aspects of HR data requests, including feasibility, ad‑hoc reports, and technical support. Adhere to organizational safety, confidentiality, values, policies, and standards. Use functional and technical knowledge to provide guidance and informal training to end‑users. Develop internal training tools and process manuals for staff.
