Position Summary

We are seeking a highly organized and detail-oriented Sales Support Specialist to support the sales team throughout the quoting, ordering, and shipping process. This role will work closely with sales, customers, vendors, accounting, and logistics partners to ensure orders are processed accurately and delivered on time.

The ideal candidate has experience in sales administration, order processing, customer support, and logistics coordination , with strong attention to detail and the ability to manage multiple priorities.

Key Responsibilities

• Manage the quotation process , partnering with the sales team to prepare accurate and timely equipment proposals.
• Process sales orders, verifying pricing, product availability, customer information, and shipping details .
• Enter and maintain orders and invoices within the company's ERP system .
• Coordinate order and invoicing information with the Accounting team.
• Communicate with customers and the sales team regarding order status, delivery dates, and potential delays .
• Coordinate with vendors and logistics partners to arrange shipping and delivery .
• Maintain accurate records of quotes, sales orders, invoices, and shipping documentation .
• Respond to customer inquiries and provide product and order information.
• Assist with resolving customer concerns related to orders, shipments, and deliveries.
• Partner with Accounting to ensure accurate invoicing and payment processing.
• Upload invoices and supporting documentation to customer portals.
• Maintain organized and accurate sales and customer information within company systems.

Qualifications

• Previous experience in sales support, sales administration, order processing, or a similar role .
• Experience coordinating shipping, logistics, or order fulfillment .
• Strong organizational skills and attention to detail.
• Ability to manage multiple orders and priorities in a fast-paced environment.
• Strong written and verbal communication skills.
• Comfortable communicating with customers, vendors, sales representatives, and internal departments.
• Proficiency with Microsoft Office Suite .
• Experience using ERP and/or CRM systems .
• Bachelor's degree in Business Administration, Sales, or a related field is a plus.
• Knowledge of shipping regulations, customs, and international trade is a plus.
