Administrative Assistant
Under the direction of the TERO Director this position performs general clerical, typing and support duties for the TERO Office and will communicate information to the general public. The Administrative Assistant is responsible for accuracy in the TERO procedures, confidentiality, filing and data entry.
Duties & Responsibilities
1. Greet visitors, ascertain the nature of business and route visitors to the appropriate office. Serves as the contact person for the department. 2. Drafts and types correspondence, forms, reports and other materials in accordance with office operating procedures. 3. Answer telephones and provide information to callers or route calls appropriately. 4. Serves as mail clerk, receiving all incoming mail and faxes, recording, and distributing. Coordinates the outgoing mail to ensure it is delivered to a mail receptacle so it can be processed in a timely manner. 5. Process mail that may require attaching related correspondence or information before forwarding; selecting mail to handle personally where the response requires specialized knowledge of the assigned function; identifying priority and/or time sensitive matters; and maintaining security and confidentiality. 6. Prepare purchase requests as needed and submit them to Fiscal. Must understand the purchasing rules of the Yurok Tribe and abide by them at all times. 7. Maintains files for correspondence, forms, reports, and other materials utilizing electronic filing system and database and retrieves them for review upon request. 8. Examines files to answer inquiries and provides information to authorized people. 9. Data input of all skill bank and contractor records. 10. In general, assists with various other tasks and activities assigned to the administrative functions, including but not limited to typing, filing, copying, telephones, reception, mail, data entry, maintenance of office machines and supplies. 11. Prepare reports of skill bank list and contractor list upon request 12. When necessary, answer inquiries from the public about recruitment and hiring from the skill bank and certifies Indian preference. 13. Assist with preparation of notification to skill bank applicants. 14. Schedules and conducts job site inspections to ensure contractors are in compliance with Indian preference. 15. Performs other related duties as assigned.
Education/Experience/Minimum Qualifications
EDUCATION/EXPERIENCE: 1. G5: Highschool diploma or GED with three years of job specified experience. 2. Employees must be willing to acquire any special certifications or attend any training that is determined to be relevant or become required of the position in the future. 3. Candidates with equivalent combinations of education, training and experience will be considered. MINIMUM QUALIFICATIONS: 1. Ability to type 45 words per minute. 2. Intermediate to advanced computer skills with knowledge of Microsoft Word, Excel, and Access. 3. General clerical experience that includes typing, data entry, record keeping, filing, answering telephones, interviewing, providing referral and assistance for clients. 4. Knowledge of the Tribal Employment Rights Ordinance. 5. Experience maintaining records. 6. Ability to understand and adhere to program policies, meet deadlines, and maintain confidentiality of information. 7. Knowledge of correct spelling, grammar, and punctuation. 8. Ability to work well with the public. 9. Recognition that in order to serve Yurok People one must know as much as possible about Yurok history, culture and values.
Supervisory Responsibilities/Conditions of Employment
SUPERVISORY RESPONSIBILITIES: This position does not have supervisory responsibilities. CONDITIONS OF EMPLOYMENT: 1.
