Job Title:  Documentation Coordinator

Location:  Northbrook, IL (Hybrid schedule)
Hire Type: Contract - 4-6 months

Pay Rate: $24-$28/hr
Work Schedule:  Full-time, 40 hours/week

Job Summary

The Documentation Coordinator will support the Quality team by managing document control workflows, coordinating documentation and training updates, and maintaining quality systems to ensure compliance and audit readiness. This role will primarily work with SOPs and Work Instructions and requires strong attention to detail, proficiency with Microsoft Excel and Word, and the ability to quickly learn processes and work independently.

Must Have Skills

• Document Control or Quality Systems (QMS) experience
• MasterControl experience
• Proficiency with Microsoft Excel and Word
• Strong Excel skills, including VLOOKUPs and the ability to rapidly search and analyze data
• Strong Microsoft Word skills, including the ability to edit and manipulate controlled documents
• Experience working with SOPs and Work Instructions
• Strong attention to detail
• Ability to work independently with minimal supervision

Job Duties

• Process and manage daily document control workflows and change requests.
• Coordinate with Subject Matter Experts (SMEs) to draft, review, and verify documentation and training updates.
• Maintain document control and training management systems to support compliance and audit readiness.
• Primarily work with SOPs, Work Instructions, and other controlled quality documentation.
• Edit and manipulate Microsoft Word documents, including adding Headers/Footers, Watermarks, Page Numbers, and other required formatting.
• Secure and protect Word documents as required for controlled documentation.
• Add internal document coding and sequencing to documents to ensure proper identification and future reference.
• Utilize Microsoft Excel to rapidly search, analyze, compare, and organize data.
• Perform VLOOKUPs and other Excel functions to validate, reconcile, and analyze information.
• Review documentation for clarity, consistency, standardization, and adherence to quality and regulatory standards.
• Support quality documentation processes and ensure records are maintained accurately and efficiently.
• Communicate with internal stakeholders to coordinate documentation updates and resolve questions.
• Perform other duties as assigned.

Qualifications

• Prior experience in Document Control, Quality Systems (QMS), or related administrative support.
• Hands-on experience with MasterControl strongly preferred.
• Proficiency with Microsoft Office, particularly Excel and Word.
• Strong Excel skills, including VLOOKUPs and the ability to quickly search, analyze, and compare data.
• Strong Word skills, including the ability to edit, format, manipulate, and secure controlled documents.
• Experience working with SOPs, Work Instructions, or other controlled quality documentation.
• Strong organizational and communication skills.
• Ability to quickly learn new processes and systems.
• Ability to manage multiple priorities while maintaining a high level of accuracy.
