Accounts Payable Specialist

We are seeking a detail-oriented Accounts Payable Clerk to join our finance team. In this role, you will support the Staff Accountant in controlling company expenses by accurately receiving, processing, verifying, and reconciling AP invoices. You will ensure financial accuracy across the procurement lifecycle using a standard three-way match system (matching packing lists, internal order confirmations, and invoices).

Responsibilities

Essential Job Functions

• Invoice Processing: Enter invoices into the ERP system, ensuring accurate three-way matching, and proactively resolve any discrepancies in a timely manner.

• Workflow & Approvals: Scan, verify, and route invoices to the appropriate departments for proper coding and authorization.

• Vendor Management: Collect vendor documentation (such as W-9s) and assist with setting up electronic payments for suppliers.

• Reconciliations & Reporting: Reconcile accounts payable entries against account balances, run AP aging reports, and provide weekly updates to the Staff Accountant on invoice backlogs or holds.

• Data & Records Maintenance: Maintain updated Excel spreadsheets and oversee organized digital and physical filing systems for AP documentation.

• Administrative Support: Perform additional general administrative and finance support duties as needed.

Qualifications & Core Competencies

• Accounts Payable:  Proven experience working as an accounts payable specialist.

• Technical Skills: Proficiency in Microsoft Office (specifically Word and Excel), with the ability to quickly learn and navigate internal databases and ERP systems (Oracle experience is preferred).
