Bookkeeper

Position Summary:

The Bookkeeper supports the Fiscal Agent for Stony Brook University Student Organizations by maintaining accurate accounting records and supporting daily financial operations of the ASA Fiscal Agent. Responsibilities include accounts payable/receivable, general ledger maintenance, and processing student budget and expenditure requests. The role requires frequent interaction with students to ensure timely, complaint, and accurate financial transactions.


Required Qualifications:

    • Associate's degree in Accounting, Finance, or a related field
    • Minimum of three years of progressive bookkeeping experience
    • Experience in a high-volume, customer service driven environment
    • Strong organizational, problem solving, time management and multitasking skills
    • Proficiency in Microsoft Excel and Word
    • Working knowledge of accounting software and general accounting principles
    • Demonstrated general office skills, including phone support and records management
    • Strong written and verbal communication skills; proficiency in English
Preferred Qualifications:
    • Bachelor's degree in Accounting, Finance or a related field
    • Experience with Blackbaud Financial Edge and/or Campusvine
    • Experience working in a higher education environment
Duties/Responsibilities:
    • Process budget expenditures requests (vouchers) and related payments
    • Ensure revenues and expenditures are accurately recorded to appropriate general ledger accounts
    • Maintain accounts payable and receivable using accounting systems
    • Prepare and post journal entries; perform account reconciliations and analysis
    • Complete monthly bank reconciliations
    • Assist in preparing accruals, depreciation, and prepaid schedules
    • Support year-end audit activities
    • Review budget status with student organization officers
    • Process student reimbursements and manage credit card issuance and reconciliation
    • Ensure compliance with accounting standards, regulations, and internal controls
    • Prepare reports and spreadsheets using Excel
    • Provide professional customer service to students, staff, and vendors; resolve inquiries and issues
    • Assist with process improvements and troubleshoot accounting system issues
    • Other duties as assigned by the association
