Job Responsibilities:
- Sales Support
• Assist the sales team in preparing quotations and proposals for customers.
• Maintain customer records and sales-related documentation.
• Coordinate communication between customers, sales representatives, suppliers, and internal departments.
• Support customer inquiries regarding products, pricing, delivery schedules, and order status. - Order Management
• Enter and process customer orders accurately in the SAP system.
• Monitor order progress from receipt through shipment and delivery.
• Coordinate with procurement, warehouse, and logistics teams to ensure timely fulfillment.
• Track backorders and provide regular status updates to customers and sales personnel. - Logistics & Import/Export Documentation
• Prepare and review shipping documents, including commercial invoices, packing lists, bills of lading, certificates of origin, and other import/export documentation.
• Coordinate with freight forwarders, customs brokers, and carriers regarding shipments.
• Ensure compliance with import/export regulations and company procedures.
• Maintain shipment records and support customs clearance activities. - Accounts Receivable & Accounts Payable Support
• Assist in generating customer invoices and monitoring payment status.
• Follow up on outstanding customer payments when necessary.
• Support vendor invoice verification and payment processing.
• Maintain accurate AR/AP records and documentation. - Reporting & Administration
• Generate sales reports, order status reports, and operational metrics.
• Maintain organized filing systems for customer, sales, and shipping records.
• Assist with process improvement initiatives to enhance operational efficiency.
• Perform other duties as assigned by management.
Qualifications:
• Associate or Bachelor’s degree preferred.
• 2+ years of experience in sales support, customer service, logistics, or operations.
• Experience with SAP systems and Microsoft Office applications.
• Knowledge of import/export documentation and logistics processes preferred.
• Strong organizational, communication, and multitasking skills.
• Ability to work independently and as part of a team.
• Bilingual English and Chinese is a plus.
