Position Overview As a Campus Registrar at Galen College of Nursing, you plan, organize, and supervise development and operations of the Academic Records area for an assigned campus. You provide consistent, friendly support to students, faculty, and staff and assist with maintenance of academic records, enforcing policies and following established procedures. Key Responsibilities Provide quality student service, demonstrating the College’s commitment to thoughtful, equitable treatment of all students in registration and academic records, ensuring confidentiality and accuracy of student records. Select, train, evaluate, schedule, and supervise campus Academic Records staff to fulfill department goals. Assure integrity, security, and accuracy of student academic records (statuses, graduation dates, grades, attendance, disciplinary actions). Verify students meet enrollment/admission requirements, including background checks and admission test thresholds. Process graduate records for inclusion in graduation ceremonies and to enable students to sit for NCLEX® with state boards. Oversee processing of all readmission students. Provide timely notification to students of status changes (probation, dismissals, etc.). Coordinate with other campus teams to meet student needs. Contact or meet with students regarding attendance, performance, and program progression; document interactions in CampusVue. Provide support and assistance to students: Initial intake of students, ensuring transfer credit understanding. Registration assistance, verifying prerequisites/co‑requisites. Processing waitlists as space permits. Registering repeating students. Assisting students with all questions and issues. Assisting students with schedule adjustments during Add/Drop week or other times. Assisting students with uniform ordering. Monitoring clinical compliance; ensuring required documentation. Tracking all site‑specific clinical requirements. Providing student transcripts and verifications. Provide professional assistance and support to Academic Leadership: Generate reports and analysis of enrollment, registration, attendance, grades, and other relevant data. Coordinate with Student Success personnel to ensure students receive necessary resources. Assist with budget planning using enrollment and performance data. Relay student comments/complaints and implement process improvements. Participate in all campus academic meetings. Assist faculty and staff with CampusVue interfaces. Assure compliance with policies and procedures outlined in the Student Catalog, Faculty Handbook, and College Policy & Procedure Manual. Provide information on policies and procedures to students and staff when requested. Work with students and the Director(s) of Clinical Education to ensure compliance with Galen and affiliate requirements (immunizations, CPR, drug screenings, etc.). Support College/Campus goals: Monitor campus performance per the Institutional Effectiveness Plan and assist in action plan development. Lead the Academic Records staff in achieving campus goals, including tracking student interactions, placement, and other objectives. Assist in production of class and examination schedules: Work with program directors to create schedules, calendars, or room grids; maintain classroom calendars and course schedules throughout each term; update faculty in CampusVue. Other Duties Participate in campus activities interfacing with students (orientation, open house, graduation); attend a minimum of three graduations per year. Other duties as assigned. Position Requirements Bachelor’s degree in a business‑related field required. Three (3) years’ experience in a college or academic setting preferred. Knowledge or willingness to learn current student systems (CampusVue, Canvas, Unitime, Verified Credentials). Knowledge of registration and records procedures and systems. Knowledge of supervision. Ability to handle multiple responsibilities, visualize changes and solutions. Ability to achieve cooperation in dispute mediation. Strong oral communication skills with coworkers, customers, clients, or the public. Cooperative work style with other employees, management, and students. Ability to work under pressure and meet deadlines. Ability to work in a fast‑paced environment. Physical & Travel Requirements Ability to walk, stand, and sit for long periods. Ability to speak concisely and effectively. Ability to operate a personal computer and office equipment. Normal motor skills and eye‑hand coordination. Travel may be required.
