Bilingual Front Office Associate – a dynamic role supporting clients and staff in Spanish and English, ensuring a welcoming environment for our mental health and substance use programs. Front Office Associate Responsibilities Greets clients and guests in Spanish and English. Creates a safe and welcoming environment by demonstrating Emergence core values. Answers, screens, and directs phone calls to staff using a multi-line phone system; takes messages and schedules appointments. Processes incoming and outgoing mail, documents, packages, and courier deliveries; delivers or distributes items. Disseminates materials to other Emergence locations, staff, and verified outside agents and organizations as needed. Receives and records client payments, issues receipts, prepares deposits, balances cash box and petty cash reports, ensures all withdrawals and deposits are entered. Communicates with Accounting regarding client appointments, charges, and other information as needed. Performs administrative and clerical support tasks; basic filing and recordkeeping. Maintains housekeeping duties, ensuring public areas are presentable, clean, and organized; keeps storage areas neat. Performs other duties as required or assigned within this job classification. May require occasional travel. Front Office Associate Requirements Competent reading, writing, and translation in English and Spanish. Ability to build and maintain relationships with staff, agencies, providers, and community partners to optimize client treatment. Experience with at‑risk communities and members living with mental health or substance use disorders. Strong project management, attention to detail, excellent communication, teamwork leadership. Ability to incorporate feedback into personal training plans and share knowledge. Meets deadlines and prioritizes multiple requests. Conflict resolution skills, maintaining objectivity, confidentiality, listening, mediation experience. Fluent written and oral communication; comfortable using technology. Contributes to positive team culture; responsible, inclusive, understands multicultural differences. Dependable and committed to tasks and staff. Basic understanding of administrative and clerical procedures and systems. Proficient with Microsoft Office Suite or related software.
