Administrative Assistant - Logistics/Warehouse


Pay: $18.50/hr (dependent on experience)
Schedule: 1st Shift | Monday-Friday, some OT as needed
Employment Type: Full-Time

Job Overview


We are seeking a detail-oriented Administrative Assistant to support daily office operations within a fast-paced logistics and warehouse environment . This role is responsible for a wide range of administrative, customer service, shipping, and clerical functions to ensure accurate documentation, smooth freight coordination, and excellent communication with customers, drivers, and internal teams.


This position is ideal for candidates with administrative experience in logistics, distribution, or warehouse settings , who are comfortable handling shipping paperwork, customer inquiries, and multiple priorities throughout the day.

Key Responsibilities

Customer Service

  • Respond to customer and broker inquiries in a courteous, professional, and timely manner
  • Process and input customer orders accurately
  • Verify on-hand inventory to ensure orders can be fulfilled
  • Generate customer work orders and related shipping documentation
  • Review orders for special requests and communicate details to the shift supervisor
  • Provide shipping updates and tracing information as needed
  • Process returned merchandise and ensure proper credit is issued
  • Act as a liaison between customers and the office regarding invoicing and credit changes
Shipping, Receiving & Freight Coordination

  • Schedule inbound and outbound freight to align with operational capacity
  • Check drivers in and maintain traffic and sign-in logs
  • Prepare and distribute paperwork for inbound and outbound loads
  • Print delivery tickets after order verification
  • Confirm shipping and receiving activity in the computer system
  • Verify inventory and warehouse documentation for accuracy
Clerical & Administrative Duties

  • Maintain accurate logs, records, and organized filing systems
  • Perform paperwork related to shipping and receiving
  • Type and distribute invoices, reports, and internal documentation
  • Handle office duplication, faxing, scanning, and miscellaneous typing
  • Maintain organized records for reference and compliance
Communication & Front Office Support

  • Answer incoming calls promptly and professionally
  • Route calls to appropriate staff and take accurate messages
  • Assist callers with general information and inquiries
  • Greet visitors and direct them appropriately
  • Maintain updated sign-out logs for staff availability
Qualifications & Experience
  • Previous administrative or office support experience required
  • Logistics, warehouse, or distribution office experience strongly preferred
  • Strong customer service and communication skills
  • Ability to multitask and manage time effectively
  • High attention to detail and accuracy in data entry and documentation
  • Proficiency with computers and basic office software
  • Ability to work independently and as part of a small team
Pay & Benefits
