Job Description

The Front Office & Service Coordinator serves as the first point of contact for customers and plays a vital role in supporting the daily operations of the business. This position is responsible for managing incoming inquiries, coordinating schedules, handling administrative processes, and supporting both the sales and service teams.

The ideal candidate is highly organized, customer-focused, and enjoys working in a fast-paced environment where no two days are the same.

This position offers a clear path for career advancement, with opportunities to grow into an Office Manager role based on performance, initiative, and leadership.

Key Responsibilities

• Welcome and assist walk-in customers and answer incoming phone calls in a professional and friendly manner.
• Manage incoming customer inquiries and sales opportunities, ensuring timely follow-up and accurate documentation.
• Schedule customer appointments and coordinate calendars for sales representatives and field personnel.
• Prepare and submit permit applications and related documentation to local municipalities and agencies.
• Receive, process, and accurately record customer payments.
• Coordinate warranty claims and maintain communication with customers, vendors, and manufacturers as needed.
• Support the Service Manager with inventory tracking, purchasing, and supply management.
• Order parts, materials, and office supplies to ensure efficient daily operations.
• Maintain organized customer records, job files, and administrative documentation.
• Provide general office support and assist other departments as business needs require.

Preferred Experience

• Experience in construction, home services, field service, or a similar industry.
• Familiarity with permitting processes and municipal documentation.
• Experience coordinating customer payments, warranty claims, or service administration.
• Experience with inventory management, purchasing, or office operations is a plus.

Compensation: Pay is commensurate with experience.
