Senior Lease Administration Analyst

Pine Tree is an equal opportunity employer. Summary of Position The Senior Lease Administration Analyst will serve as the steward of lease data across the portfolio. This role is responsible for ensuring the accuracy, completeness, and integrity of lease information that supports Leasing, Property Management, Accounting, Asset Management, and executive decision‑making. The Senior Lease Administration Analyst will oversee Pine Tree’s outsourced lease abstraction process, perform quality assurance reviews, interpret commercial lease provisions, coordinate the pre‑leasing process, maintain lease data within Yardi and other systems, and partner with cross‑functional teams to continuously improve lease administration processes through technology and AI. Responsibilities Lease Data Management & Abstraction Own the accuracy and completeness of lease data across the portfolio, ensuring lease terms are reflected correctly in Yardi and related systems Coordinate Pine Tree’s outsourced lease abstraction process, including day‑to‑day management of vendor performance Review and approve lease abstracts prepared by third‑party vendors, partnering with Property Managers to validate key terms prior to final approval Lease Coordination Coordinate with the Leasing team and tenants to administer the deal execution process from LOI through lease signing Input deal terms into software, coordinating document signatures and activating executed leases in the system Maintain a strong working knowledge of internal and external leasing agreements, including commission structures, and process related commission invoices Lease Interpretation & Business Support Analyze commercial lease provisions and provide guidance to Accounting, Leasing, Property Management, and Asset Management Research and resolve questions involving rent, CAM recoveries, percentage rent, renewal options, exclusives, co‑tenancy, and termination rights Lease Technology & Process Improvement Identify and implement opportunities to improve lease administration through automation, AI, and other technology Support Yardi Deal Manager and AI‑enabled lease repository initiatives Produce leasing reports and portfolio‑level analytics to support cross‑departmental decision‑making Maintain and proactively communicate critical lease dates and option deadlines to Leasing, Property Management, and other stakeholders Desired Skillsets & Qualifications 3-5 years of commercial retail lease administration experience Strong understanding of retail lease terminology and commercial lease provisions Experience with Yardi Strong analytical, organizational, and communication skills Lease data governance experience Experience supporting the pre‑leasing or deal coordination process Salary Range: $80,000-$90,000 including a market‑based, discretionary year‑end bonus.
