Senior Executive Associate

Senior Executive Associate Location: Hybrid – primarily from home with occasional work at Amgen’s Thousand Oaks campus when the Senior Vice President (SVP) is onsite. Responsibilities Coordinate workflow by reviewing email, correspondence, and other communications and determining priority before distribution to the SVP. Screen and direct incoming calls, correspondence, and visitors; provide answers and information on behalf of the SVP. Manage the SVP’s calendar and organize domestic and international travel arrangements to meet dynamic business needs. Prepare briefing documents and pre‑read materials for daily meetings and appointments. Review, prioritize, and flag high‑priority communications (e‑mails and documents) for timely response. Process expense reports efficiently and accurately. Plan logistics and execute key tasks for various business meetings, including senior leadership team meetings, on‑site events, and all‑staff gatherings – preparing agendas, meeting materials, and tracking action items. Report on the status of assignment progress and deliver updates on key issues to senior leadership. Interpret and relay pertinent business matters related to day‑to‑day operations. Act as liaison between the SVP, peer executive assistants, and key Amgen groups such as Strategy Planning & Operations, Corporate Communications, Finance, Human Resources, and other stakeholders. Provide independent support for management activities, including annual reviews, organization and departmental goal setting, and staff objectives. Qualifications Basic Qualifications: Master’s degree OR Bachelor’s degree with 2 years of executive administrative support experience. Associate’s degree with 6 years of administrative support experience. High school diploma or GED with 8 years of administrative support experience. Preferred Qualifications: Bachelor’s degree with 10 years of administrative support experience, including at least 5 years supporting an executive‑level leader. Proactive, anticipatory approach to business needs. Proficiency in computer software (word processing, graphics, presentations). Excellent verbal and written communication skills and phone etiquette. Detail‑oriented, with strong organizational and prioritization abilities. Capacity to manage confidential information with discretion. Track, report, and resolve issues with limited oversight.
