Position Overview

\n

The Associate position is a newly created position due to company growth. The Associate will be responsible for providing high-level administrative support to company leadership, as well as assisting with special projects and tasks. This position may require work to be performed outside of typical business hours to assist with calendar management, travel accommodations, and respond to time-sensitive requests.

\n

\n

As an Associate, you will:

\n

\n
• Executive Support: Provide high-level operational support to Chief Financial Officer (CFO), Chief Strategy Officer (CSO), as well as other Holding Company employees when requested, with little to no supervision.
\n
• Calendar Management: Support PPHC Operations team with calendar management including scheduling meetings, conferences, appointments, and special events; independently resolve conflicts, prioritize requests, and confirm details.
\n
• Corporate Communications: Develop, create, and manage Word documents, PowerPoint decks, and Excel sheets for use in investor roadshows, board of director meetings, client presentations, etc.
\n
• Travel Accommodations: Arrange travel accommodations for the CFO, CSO, other Holding Company employees, and Board members as requested.
\n
• Expense Reimbursement: Manage expenses and submit correct documentation for reimbursements in Concur Travel and Expense on behalf of the CFO and CSO as requested.
\n
• Relationship Management: Build trust-based relationships with key stakeholders, internal partners, and member company contacts.
\n
• Internal Tracking: Organize and track member company activities, including employee spotlights, company awards, etc.
\n
• Vendor Management: Coordinate with external design and event planning vendors.
\n
• Event Planning: Coordinate with internal teams to plan and host events.
\n
• Communication: Quickly and accurately respond to inquiries via phone call, email, Teams, and other communication channels.
\n
• Administrative Tasks: Assist with administrative tasks such as data entry, scanning, filing, and organization (both digital and physical).
\n
• Office Coordination: Work with the Office Coordinator as requested to ensure in-office operations run smoothly.
\n
• Ad-hoc Projects: Carry out special projects and tasks as needed to achieve departmental and company goals; provide backup support for reception when needed.

To be successful, you will need:

\n

\n
• Bachelor’s degree
\n
• Experience providing executive support to C-suite leaders
\n
• Experience with Canva, Figma, WordPress and other design tools
\n
• Excellent interpersonal and customer service skills
\n
• Advanced written and verbal communication skills
\n
• The ability to proactively anticipate and respond to business needs
\n
• Excellent organizational skills and attention to detail
\n
• Experience with Microsoft Office including Word, PowerPoint, and Outlook
\n
• Proven ability to operate with integrity and ethics, and maintain highest standards of confidentiality
\n
• Willingness and ability to meet and exceed established deadlines
\n
• Dependability and reliability
\n
• Be able to adjust to flexible work schedules
\n
• A “Can – Do” Attitude

We prefer that you have:

\n

\n
• Experience or exposure to the government relations and public affairs industry
\n
• Strong Microsoft Office skills, including Microsoft Excel
\n
