Accounts Payable Specialist

JOB SUMMARY The Accounts Payable Clerk is responsible for processing and maintaining accurate accounts payable records, ensuring timely payment of vendor invoices, and supporting the overall financial operations of UBE group companies in USA. The position requires strong attention to detail, accuracy, organization, and effective coordination with internal departments and external vendors. This position supports the accounts payable workflow as a preparer, ensuring appropriate review and approval in accordance with the company’s segregation-of-duties and internal-control requirements. This is a hybrid position supporting accounts payable activities for both URE and UCCA. JOB RESPONSIBILITIES Accounts Payable & Vendor Support 1. Receive, review, and process vendor invoices accurately and in a timely manner. 2. Match invoices to purchase orders and receiving documentation, including three-way matching where applicable. 3. Verify account coding, approvals, and supporting documentation. 4. Identify and resolve invoice discrepancies with vendors and internal departments. 5. Prepare weekly and monthly payment-run support and supporting schedules for management review and approval. 6. Ensure payments are processed in accordance with company policies and contractual payment terms. 7. Maintain accurate vendor master records and respond to vendor inquiries regarding payment status. 8. Reconcile vendor statements and investigate discrepancies promptly. 9. Coordinate with purchasing and receiving personnel to resolve invoice and receipt issues. 10. Maintain organized accounts payable records, payment support, and control evidence. Accounting & Compliance Support 11. Support month-end and year-end closing activities, including AP-related accruals and reconciliations. 12. Perform AP aging analysis and reconcile AP aging reports to the general ledger; investigate and resolve aged, outstanding, or unusual items. 13. Ensure compliance with company policies, internal controls, J-SOX requirements, and audit requirements. 14. Assist with audit schedules, document retention, and requests from internal and external auditors. 15. Support SAP S/4HANA activities, master-data validation, and accounts payable reporting as needed. 16. Participate in process improvements to increase efficiency, accuracy, and automation. 17. Perform other accounting and administrative duties as assigned. QUALIFICATIONS / REQUIREMENTS Accounting, Finance, or a related field required Bachelor's degree preferred. 3-5 years of accounts payable, bookkeeping, or accounting support experience required Knowledge of accounts payable processes and basic accounting principles. Experience with SAP S/4HANA accounts payable or another ERP system preferred. Proficient in Microsoft Excel and other Microsoft Office applications, with strong attention to detail. Strong organizational skills and ability to prioritize multiple tasks and meet deadlines. Able to handle confidential financial information. Strong written and verbal communication skills. Experience in a manufacturing, distribution, or multinational environment preferred. Japanese language ability is a plus,but not required.
