Administrative Assistant 2

Responsibilities for Administrative Assistant 2 include but are not limited to:

• Manage complex calendaring for the CVP including meeting coordination, prioritization, and conflict resolution.

• Proactively align scheduling with shifting business priorities and ensuring optimal time allocation.

• Coordinate domestic and international travel arrangements, including itineraries and logistics.

• Prepare and submit accurate and timely expense reports.

• Partner with the AI Platform Administrative team and collaborate across the CoreAI organization.

• Work closely with HR, Staffing, Finance, and Facilities to support business operations and team needs.

• Manage and track headcount, including maintaining accuracy in related systems.

• Create job requisitions, support onboarding for new hires, and maintain distribution lists.

• Monitor space allocation, anticipate constraints, and coordinate individual and group office moves.

• Coordinate procurement of equipment for new hires and refresh cycles.

• Track and manage assets including updates to custodians, cost centers, and equipment transfers.

• Manage recycling and lifecycle tracking of IT assets.

• Review operating budgets and spending trends; proactively identify risks or overages.

• Partner with Finance to ensure accurate reporting and resolve discrepancies.

• Serve as interim approver for team expense reports, ensuring compliance and proper coding.

• Organize and manage offsites, team morale events, and cross-functional initiatives.

• Support large-scale organizational events such as All-Hands meetings.

• Aligning events with business cycles, product release schedules, and team priorities.

• Understand business rhythms and planning cycles to anticipate needs and optimize scheduling and support.

• Maintain a high level of confidentiality and professionalism at all time

Candidates for Administrative Assistant 2 must meet the following requirements to be considered:

• Minimum 4+ years of administrative experience in a fast-paced environment.

• Proven experience supporting senior executives with complex calendaring.

• Strong written and verbal communication skills, with the ability to collaborate across global teams.

• Highly detail-oriented with strong problem-solving and troubleshooting capabilities.

• Demonstrated ability to prioritize, multitask, and work efficiently under pressure.

• Excellent cross-functional collaboration skills.

• Ability to respond with urgency and adapt quickly to changing priorities.

• High level of discretion, integrity, and professionalism.

Pay Details: $34.79 per hour
