Office Administrator

ProductionHUB

Role Overview We are seeking a highly organised and proactive Office Administrator to support the day‑to‑day operation of our Los Angeles office. This role will work closely with the Operations Manager and Labor Coordinator, providing administrative support across labour scheduling, purchasing, project administration, compliance, travel coordination, and general office management. The ideal candidate will be detail‑oriented, confident working with multiple priorities, and capable of keeping systems, paperwork, and processes organised in a fast‑paced live events environment. Key Responsibilities Operations Support Assist the Operations Manager with project setup and administration within Lasso and RMS. Prepare and maintain documentation such as crew lists, schedules, and operational records. Support equipment logistics by coordinating paperwork, deliveries, collections, and courier bookings. Track outstanding actions, maintain accurate filing systems, and assist with customer and supplier communications. Labor Coordination Support Support crew administration and scheduling alongside the Labor Coordinator. Prepare booking confirmations, distribute work information, and onboard new employees and freelance crew. Maintain personnel records, tracking availability, certifications, training, and compliance. Coordinate travel arrangements and monitor shared inboxes for routine crew enquiries. Purchasing & Finance Administration Raise purchase orders and maintain purchasing records. Obtain and compare supplier quotes and process supplier invoices with supporting documentation. Match invoices against purchase orders, escalating discrepancies. Assist with tracking project costs and support the Finance team with invoice approvals. Compliance & Documentation Maintain employee files, insurance records, certifications, and compliance documentation. Support Right to Work and employment document administration and Health & Safety record keeping. Ensure company records are organised, accurate, and readily accessible for audits and document requests. Office Administration Manage incoming calls, emails, mail, and visitors. Order office supplies, maintain facilities, coordinate meeting arrangements, and manage calendar bookings. Prepare reports, spreadsheets, and presentations; support directors and management with general tasks and company events or internal communications. #J-18808-Ljbffr ProductionHUB
