Insurance Claims Specialist

Job Summary

We are seeking an Insurance Claims Specialist. This role is ideal for a detail-oriented administrative and insurance professional who enjoys coordinating claims, supporting risk management processes, and serving as a trusted point of contact between property teams, insurance carriers, brokers, adjusters, and internal stakeholders.

The Insurance Claims Specialist will help manage property and liability loss reporting, support financial recovery through available insurance coverage, and ensure claims are handled accurately, timely, and in the best interest of the organization. Key Responsibilities

- Serve as the primary contact for reporting and coordinating property and liability insurance claims.
- Review incident reports, legal claims, and related documentation for accuracy, completeness, and potential claim activity.
- Coordinate with insurance brokers, claims adjusters, property managers, and internal stakeholders throughout the claims process.
- Track claims, incident reports, legal matters, reimbursements, and related documentation while identifying trends and loss prevention opportunities.
- Support displaced resident processes by calculating allowances, coordinating temporary housing resources, tracking expenses, and submitting insured costs for recovery.
- Maintain organized digital and hard copy files, prepare insurance documentation, and support administrative tasks related to claims, audits, payments, and renewals.

Compensation and Benefits

- Compensation: $28.00 to $36.50 per hour.

Required Qualifications and Skills

- Coordinate property and liability insurance claims from initial reporting through closure.
- Review incident reports, insurance documents, leases, contracts, claims, summons, complaints, and compliance-related materials.
- Communicate with property managers, adjusters, brokers, claimants, and internal stakeholders to support timely claim resolution.
- Track claims activity, analyze trends, and provide recommendations to support risk mitigation and loss prevention.

- High school diploma or GED required.
- At least 2 years of related experience required.
- 3 to 5 years of relevant administrative, insurance claims, risk management, property management, or related experience preferred for success in this role.
- Ability to read, interpret, and analyze complex documents, including insurance policies, certificates of insurance, contracts, leases, regulatory agreements, and legal notices.
- Proficiency with Microsoft Excel, Word, PowerPoint, and Outlook.
- Strong written and verbal communication skills, with the ability to explain complex claim or compliance information clearly.
- Highly organized, dependable, self-motivated, and able to manage multiple priorities and deadlines.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Comfortable learning and using Microsoft Teams, Smartsheet, and property management or reporting systems.
- Able to sit and work at a computer for extended periods.
- Willing and able to work outside normal business hours when needed, including occasional after-hours or weekend travel to properties for insurance claim support.

Preferred Qualifications

- Experience with Yardi, MRI, or similar property management software.
- Knowledge of property management, real estate, accounting, finance, general administration, or affordable housing operations.
- Ability to understand and analyze financial statements, budgets, balance sheets, and income statements.
- Experience supporting insurance renewals, certificates of insurance, claims documentation, subrogation, shared defense, or loss prevention initiatives.
