Personal / Executive Assistant (Concord)

SAC Inc. is looking for a sharp, fast-moving Personal/Executive Assistant to support the President's full range of business and personal administrative needs — across SAC Inc. and its managed businesses (Retail Brands, SACG/Turo, JourneyCast.studio, and more). The goal: nothing falls through the cracks, and the President can hand off a problem — even an incomplete one — and trust it gets figured out and followed through, without having to remember to ask about it again.

WHAT YOU'LL DO — literally anything and everything the President needs help with, including:

Executive & personal support: Manage the President's calendar (scheduling, rescheduling, confirmations, reminders, addresses, meeting links, travel time); organize the email inbox, identify priorities, draft responses, and ensure important messages get timely follow-up; keep a running list of everything waiting on the President's decision, approval, signature, or review; handle personal administrative tasks as needed (appointments, reservations, travel booking, research, purchases, documentation); catch and organize new ideas and commitments made in meetings, calls, or casual conversation before they get lost; anticipate what's needed next instead of waiting to be asked.

Projects & follow-up: Maintain a master project/priority tracker across every active initiative (owner, status, next action, due date); chase down employees, contractors, and vendors on overdue or incomplete items; flag stalled projects before they become a problem; deliver a concise weekly summary of wins, top priorities, overdue items, blockers, decisions needed, and upcoming deadlines; take an unfamiliar or incomplete assignment, research it, and come back with options, not just more questions.

Financial & business documentation: Organize receipts and supporting documentation across multiple business entities; help categorize transactions by business and purpose; maintain tracking spreadsheets for money in, money out, who owes us, who we owe, and upcoming payments; flag missing receipts, unexplained charges, or overdue invoices; keep SAC Inc., Diamond Shine Cleaner, SACG/Turo, JourneyCast, and other entities' documentation properly separated.

Business-specific support: Diamond Shine (supplier documents, product-development tracking, retailer/vendor requests, chargeback/deduction follow-up, trade-show logistics, PR research); JourneyCast.studio (calendar/scheduling, prompt invoicing, unpaid-invoice follow-up, booking records); Turo/SACG (tracking tolls and tickets, coordinating vehicle recovery with tow companies/insurance/police, organizing repair documentation).

Compliance & process: Track recurring filings, renewals, licenses, and subscriptions so nothing lapses; build and maintain SOPs/checklists for repeatable work; use AI tools to speed up research, drafting, planning, and organization, with human review before anything important goes out.

WHAT WE NEED, in priority order: First, a figure-it-out mentality — given something unfamiliar, you research, use AI, experiment, and bring back an answer instead of asking what to do. Second, speed and a bias for action — routine work like scanning, drafting, scheduling, and spreadsheets gets done fast. Third, initiative — you spot the next move without being told, and build the process so a problem doesn't recur. Fourth, comfort with technology and AI — Google Sheets, Gmail, Drive, Calendar, Docs, and AI tools should already be second nature. Fifth, attitude under chaos — calm prioritization, not complaints, when the workload is heavy. Prior admin/EA experience is a plus, but weighted least of the above.

SCHEDULE: Minimum 20 hrs/week, up to 160 hrs/month, mostly in-office; flexible scheduling by mutual agreement.

COMPENSATION: $15–$25/hour base, depending on experience level, demonstrated competency, and ability to work quickly — plus a monthly performance incentive (up to $300/month across executive reliability, project execution, and process/AI improvement) and an annual bonus of up to 5–10% of compensation at leadership's discretion.
