Administrative assistant

Support the leadership driving global innovation! We are seeking a highly organized Administrative Assistant to provide advanced support to three global Vice Presidents within our IT function. This role is pivotal in managing a massive ecosystem of 900+ internal and external resources, handling confidential materials, and ensuring executive productivity.
What You Will Do- Executive Support: Manage complex calendars across multiple time zones, coordinate global travel, and handle expense reporting.
- Communications: Screen high-volume digital communications and act as a liaison for internal and external stakeholders.
- Event Management: Lead logistics for Town Halls, Functional Reviews, and large-scale annual leadership events (off-site and virtual).
- Project Coordination: Track deliverables for key initiatives and maintain online collaboration sites and distribution lists.
- Talent Onboarding: Manage the end-to-end onboarding/off-boarding process for team members, including hardware and systems setup.
- Tech Champion: Act as a subject matter expert for user-based technologies, training other administrative staff on new tools.
- Experience: 3+ years supporting Senior Leadership in a high-growth environment.
- Education: High School Diploma required; Associate or Bachelor's degree preferred.
- Technical Savvy: Proficiency in MS Office and an interest in technology-based services.
- Skills: Exceptional discretion, time management, and the ability to thrive in a fast-paced global landscape.
salary: $14 - $15 per hour

work hours: 8 AM - 5 PM
education: Bachelors Responsibilities Coordinate travel arrangements and manage expenses; coordinate calendars and schedule appointments based on key business priorities (e.g. special projects, issues and escalations, time zone complexities), networking with other admins throughout IT and business divisions.
Answer, screen, and route emails and digital collaboration chat and provide responses to internal/external customer requests.
Attend VP special project and leadership meetings to provide logistical support and updates.
Manage logistics for Functional Reviews, Town Halls, and staff meetings, including proactive communications and agenda planning.
Organize off-site & virtual meetings and executive divisional events including logistics, preparation of presentations and materials, resolution of problems and facilitation of special meeting requests.
Provide support to projects and key initiatives to ensure completion of ongoing projects and special assignments, including tracking of key deliverables and generation of communications.
Play a pivotal role in planning, supporting, and running all logistics for the annual IT extended leadership event. Skills
