Client Operations Specialist

The Client Operations Specialist is a core member of our client operations team, owning day-to-day workflows end to end and serving as a trusted resource for advisors and clients alike. This is a strong fit for a client operations professional who has moved past the fundamentals, works independently on complex requests, and is ready to take ownership of quality and process. You will directly support one or more advisors while also supporting the firm as a whole, reporting to the COO/CCO and working closely with Wealth Managers, Portfolio Management, and Compliance. Garde Capital promotes a hybrid work environment with in-office presence 3 days per week. Key Responsibilities Client Service & Communication Directly support one or more advisors as a responsive, day-to-day point of contact for client and advisor service requests, delivering proactive, high-touch support Prepare for client meetings, respond to inquiries, and follow up on pending items with clear communication and reliable follow-through Partner with Wealth Managers to ensure seamless client coverage and consistent service standards Client Operations & Custodial Management Own core operations workflows with speed and precision, including account opening and maintenance, client information changes, and complex documentation Process money movement requests such as contributions, withdrawals, wires, ACH, internal transfers, and RMDs with strong attention to accuracy and risk Manage securities transfers, including ACATs and in-kind transfers, and coordinate cost basis verification Act as a day-to-day contact for Schwab and Fidelity service teams, resolving issues and staying ahead of platform changes Support retirement, charitable, and estate-related servicing such as rollovers, QCDs, DAF activity, and trust account maintenance Firm, Office & Administrative Support These responsibilities are shared across the client operations team, with coverage rotated among team members. Manage day-to-day office operations, including mail pickup, scanning, and reporting, office supplies, and printer meter readings Coordinate vendor and retail orders and process related invoices, such as parking and recurring vendor billing Own the weekly check log review to ensure accuracy and timely handling Prepare for in-office client meetings, ensuring meeting spaces are clean and professional and coordinating parking and hospitality Provide general administrative support that keeps the firm running smoothly Quality, Compliance & Process Ensure all client paperwork and documentation meets firm standards and regulatory requirements before submission Maintain accurate records in the firm’s CRM and portfolio systems, with high standards for documentation and recordkeeping Support e-signature workflows, client portal setup, and process improvement as the firm continues to scale Support the firm as a whole through process documentation, firm-wide initiatives, and identifying opportunities to improve efficiency and reduce risk Qualifications Required 5+ years of financial services experience in client operations or client service, or equivalent Genuine commitment to client hospitality, with a warm, professional, and service-first approach to every interaction Strong attention to detail and the ability to manage complex workflows independently Excellent communication skills and a client-first mindset Series 65, or willingness to obtain within 12 months Preferred Experience in a fast-growing RIA Working knowledge of custodial processes, including onboarding, transfers, and money movement Solid understanding of compliance requirements and operational risk controls within an RIA environment Proficiency with custodial platforms, CRM systems (Salesforce or similar), and modern workflow tools Familiarity with AI tools and a willingness to adopt new technology to improve efficiency Work Authorization Candidates must be authorized to work in the United States on a full-time, permanent basis. We are unable to sponsor employment visas or support CPT/OPT arrangements for this role. Compensation Starting base salary range: $85,000 to $115,000 per year, depending on experience.
