Client Overview:

Our client is an established engineering/AEC organization with a busy accounting department supporting high-volume, project-based billing (including public-sector work). They are now looking for a Billing Specialist .

Salary/Hourly Rate:

$30/hr - $35/hr

Position Overview:

Our client is seeking a Billing Specialist to cover a maternity leave. They are open to a mid-level or senior-level billing professional with engineering/AEC project billing experience, strong attention to detail, and advanced Excel skills.

Responsibilities of the Billing Specialist:

• Prepare, review, and process high-volume monthly project billings.
• Set up projects in the billing/accounting system per contract terms, rates, and limits.
• Interpret and apply contracts, task orders, amendments, and fee schedules to ensure compliant billing.
• Monitor budgets/contract balances and perform monthly budget reconciliations.
• Partner with Project Managers to research and resolve billing questions and client inquiries.
• Enter/review project expenses and billing data (weekly).
• Assist with AR support related to invoice questions, backup documentation, and collections support.
• Maintain accurate billing records for audits/agency reviews.
• Support ad hoc billing and project reporting as needed.
• Identify opportunities for process improvements and controls.

Required Experience/Skills for the Billing Specialist:

• Prior billing experience within an engineering firm/AEC environment.
• Experience billing large projects (target: $1M-$3M project billing).
• Advanced Microsoft Excel skills.
• Strong organizational skills, attention to detail, and the ability to meet deadlines in a fast-paced environment.
• Strong written and verbal communication skills and the ability to partner with Project Managers.

Preferred Experience/Skills for the Billing Specialist:

• Deltek VantagePoint experience (highly preferred).
• Public-sector/agency billing experience (e.g., contract-driven billing, audit documentation).
• Experience supporting transportation/infrastructure projects (nice to have).

Education Requirements:

• No degree required (degree preferred for senior-level candidates).
