POSITION DESCRIPTION

 

JOB TITLE:                 Finance and Administrative Assistant

REPORTS TO:            Director of Finance and Administration

STATUS:                    Part Time – 32  hours a week

 

PURPOSE OF POSITION :     To provide administrative support in areas of assigned responsibilities, to include finance and administration.

DUTIES AND RESPONSIBILITIES:

·         Provides support to accounting by taking on routine responsibilities including payables, ACH transfers, daily deposits, and bank reconciliation.

·         Pledge entry into donor database.

·         Provides support to Human Resources by preparing on-boarding materials and providing orientation for new employees, managing online benefits enrollment, and providing backup for payroll procedures.

·         Work with Database Specialist during Campaign Season to roll out and maintain e-Pledge campaigns.

·         Keeps company policies up to date.

·         Assists with annual audit preparation.

·         Composes and prepares reports, meeting minutes, conflict of interest forms or other documents.

·         Is familiar with office software including Andar/ MIP to allow back up assistance and coordination of assignments.

·         Works as a team member to provide support to the office and back up for front desk.

·         Reconciles Balance Sheet accounts monthly.

·         Send manual invoices as needed

·         Oversee recurring payments and designation payments.

·         Performs special projects and program support.

·         Assist CEO with Board Related Duties as needed.

·         Perform other duties as assigned.

JOB REQUIREMENTS/SKILLS:

·         High degree of knowledge of computer operation, familiarity with Windows, web environment, Microsoft office suite and ability to learn unique data systems.

·         Maintain Confidentiality

·         Knowledge or experience of accounting and Human Resource functions.

·         Strong organizational skills and ability to prioritize multiple tasks.

·         High level of accuracy and attention to detail and quality.

·         Congenial personality with a focus on positive customer service

·         Ability to work independently and as a team member.

·         Proven work experience in an office environment and a two-year associate degree preferred.
